Job Summary:
The Medical Records Specialist is responsible for maintaining, organizing, and managing patients’ health information and medical records. This includes ensuring accuracy, confidentiality, and compliance with healthcare regulations. The role supports clinical staff, insurance processing, and quality care through proper documentation handling.
Key Responsibilities:
Organize and manage paper and electronic medical records (EMRs)
Ensure records are accurate, up-to-date, and securely stored
Process patient admissions and discharges in record systems
Retrieve medical records for physicians, nurses, and other healthcare providers
Release patient information according to HIPAA and organizational policies
Scan, index, and upload documents into electronic health record (EHR) systems
Maintain logs for chart requests, amendments, and disclosures
Assist in auditing records for quality assurance and compliance
Support billing and coding departments with timely documentation
Respond to record requests from patients, legal offices, and insurance companies
Handle data entry and resolve discrepancies in records
Qualifications:
Required:
High school diploma or GED
1–2 years of experience in medical records or a healthcare office
Understanding of HIPAA and patient confidentiality
Basic knowledge of medical terminology
Proficiency with EHR systems (DSL) Data Soft Logic
Preferred:
Associate’s degree in Health Information Technology or related field
Experience in a clinical setting
Skills:
Strong attention to detail and accuracy
Excellent organizational and time management abilities
Ability to handle sensitive information confidentially
Strong interpersonal and communication skills
Analytical thinking and problem-solving ability
