    Position Summary:
    We have an exciting opportunity to join our team as a Medical Secretary-OR Central Scheduling-Day Shift (35 Hours).

    In this role, the successful candidate Responsible for triaging, completing, and scheduling daily surgical bookings in a professional and timely manner. Communicates with Operations Leadership, Anesthesia, and Nurse Managers on any information pertinent to the daily function of the Operating Room. Learning about procedures and perioperative operations daily based on feedback and observation. Performs all computer related functions. May provide assistance to less senior staff and cover the front-desk as needed.

    Job Responsibilities:

    • Schedules cases efficiently and accurately. Maximizes room utilization. Sequences cases as efficiently as possible, providing feedback to offices as necessary. Registers patient demographic information when required.
    • Responsible for auditing the schedule for pertinent case details to ensure cases are booked correctly, for the accurate case length, laterality is correct, and any outstanding elements, i.e. insurance authorization, medical evaluations and lab results, are followed up on.
    • Acts as liaison between provider offices and Perioperative staff.
    • Must escalate surgeon, equipment, patient, and any other conflicts detected in Epic.
    • Responsible for load-leveling case volume each day, with guidance as needed from nursing and operational leaders.
    • Communicates with Nurse Managers and Operating Room Director, all information pertinent to case-flow. Answers telephones, checks voice mail timely and appropriately.
    • Identify and analyze trends in scheduling practices based on unit metrics and feedback from nursing and anesthesia leaders to further improve the schedule. Provides feedback as needed to surgical coordinators and other surgical/procedural office team members.
    • Participate in unit meetings as needed. Lead unit scheduling meetings with nursing.
    • Performs other duties as assigned.
    • Provides reception assistance & Screens telephone callers in pleasant and a professional manner; handles call; take messages or directs caller to appropriate person or area.
    • Performs other related duties as needed by providers and supervisors.
    • Ensures that appropriate procedure coding is utilized and verification process and questions physicians, if appropriate, to ensure accuracy and completeness of information.
    • Maintains workload statistics and other data for departmental records. Records statistics in established time intervals designated by supervisor. Follows instructions given by supervisor and prepares information neatly.
    • Prepares simple, routine memoranda letters, labels, routine manuscripts, correspondence and other documents as needed. Reviews work for accuracy and completeness. May maintain routine calendar, assist in basic preparing for conferences and the related duties.
    • May assist, provide guidance and/or train less senior staff with completing intake related duties.
    • Maintains supplies and cleanliness of space, restocks supplies as needed. Notifies supervisor of any shortage of supplies.
    • Maintains and receives files for area. Maintains files in organized and up-to-date manner in order to facilitate their retrieval. Completes filing in accordance with departmental procedures. Sorts and distributes documents and forms for area section. Distributes materials according to content of communications and departmental procedures. Logs in materials with respect to time and data when applicable. Processes incoming and outgoing documents. Completes forms neatly. Secures appropriate signatures and forwards documents/forms to correct destination based on pertinent Medical Center procedures. Maintains copy for files. Faxes documents in accordance with departmental procedures.
    • Maintains confidentiality on matters to which they are privileged.
    • Maintains cooperative and professional relationships with physicians, nurses and office and clinical staff.
    • Refers patients who have a question regarding insurance coverage or are in need of counsel on financial matters based on established criteria (e.g., denial of electronic insurance eligibility, ABN questions/concerns, questionsregarding insurance or pay-or restrictions, making payment, multi plan determinations, any and all issues/questions/concerns relating to financial matters) to the Business Office Associate.
    • Monitors intake work queue for timely intake completion.

    Minimum Qualifications:
    To qualify you must have a High School diploma. One year of relevant medical clerical experience. Must include prior physician practice experience and knowledge of medical terminology. Background in computer literacy preferred. Light, accurate keyboarding skills required. Excellent organizational, interpersonal and communications skills required.

    Preferred Qualifications:
    Knowledge of computer-based scheduling and appointment programs. Excellent telephone skills.

    NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $69,604.56 - $69,604.56 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
