    Position Overview

    CLFC Healthcare & Communications is hiring Medical Support Assistants to support the VA Northwest Health Network serving Veterans across Oregon, Washington, Idaho, and Alaska. MSAs are the front line of the Veteran healthcare experience, managing scheduling, patient check-in, medical record coordination, and administrative support that keeps VA clinics running efficiently. This is a meaningful role where your daily work directly impacts Veterans' access to timely healthcare.

    Key Responsibilities

    • Patient Scheduling and Coordination: Schedule, cancel, and reschedule patient appointments using VA scheduling systems (VistA, CPRS). Manage recall reminders, consult tracking, and wait list monitoring to ensure Veterans receive timely access to care.
    • Patient Reception and Check-In: Greet Veterans and visitors, verify demographic and insurance information, collect co-payments, and ensure all required documentation is complete before clinical encounters.
    • Medical Record Management: Maintain and update electronic health records, process release of information requests, scan and index documents into the medical record system, and ensure records comply with VA privacy and documentation standards.
    • Communication and Coordination: Serve as the primary administrative point of contact between Veterans, clinical staff, and service line leadership. Route secure messages, manage telephone inquiries, and coordinate care transitions between departments.
    • Administrative Support: Prepare correspondence, process consults and referrals, manage clinic profiles and grid templates, compile workload data, and support service line operations with reporting and data entry.
    • Compliance and Quality: Adhere to VA scheduling directives, HIPAA privacy regulations, and facility-specific standard operating procedures. Participate in access and quality improvement initiatives as directed.

    Required Qualifications

    • High school diploma or equivalent
    • Minimum 1 year of experience in a medical office, clinic, or healthcare administrative setting
    • Proficiency with electronic health records and scheduling systems
    • Strong organizational skills with ability to manage multiple priorities in a fast-paced clinical environment
    • Excellent verbal and written communication skills
    • U.S. citizenship required (VA federal contract requirement)
    • Ability to pass a VA background investigation and obtain a PIV badge

    Preferred Qualifications

    • Prior experience as a Medical Support Assistant in a VA or federal healthcare setting
    • Familiarity with VistA, CPRS, and VA scheduling directives
    • Experience with medical terminology and clinical workflow coordination
    • Certified Medical Administrative Assistant (CMAA) or equivalent certification
