About Us
Tampa Gut MD is a growing, patient-centered gastroenterology practice committed to delivering high-quality digestive care in a compassionate and efficient environment. As we expand into a new, state-of-the-art facility, we are launching an in-office procedural suite for colonoscopy and endoscopy services.
We are seeking an experienced and motivated Office Manager to lead our team and help guide this exciting next phase of growth.
Position Summary
The Office Manager is responsible for overseeing the daily operations of the practice, managing staff, ensuring an exceptional patient experience, and supporting the successful launch and operation of our in-office procedural services. This is a leadership role requiring strong organizational, communication, and problem-solving skills.
Bilingual (English/Spanish-speaking) candidates are highly preferred to better serve our patient population.
Key Responsibilities
Practice Operations
Oversee daily front and back office operations
Ensure efficient patient flow, scheduling, and minimal wait times
Coordinate workflow design and operational setup in the new facility
Manage office supplies, equipment, and vendor relationships
Staff Leadership & Development
Supervise administrative and clinical support staff
Recruit, hire, onboard, and train team members
Manage staff schedules, timekeeping, and performance evaluations
Foster a positive, professional, team-oriented culture
Patient Experience
Ensure high standards of patient service and satisfaction
Address and resolve patient concerns or escalations
Oversee appointment scheduling, reminders, and follow-ups
Support Spanish-speaking patients (preferred skill)
Revenue Cycle Oversight
Monitor insurance verification, authorizations, and referrals
Oversee billing workflows and coordination with billing partners
Track key metrics including collections, denials, and AR
Support accurate coding processes for GI procedures
Compliance & Regulatory
Ensure compliance with HIPAA and other healthcare regulations
Maintain OSHA and workplace safety standards
Support accreditation readiness for procedural suite
Oversee credentialing and documentation standards
Procedural Suite Operations
Assist with setup and launch of in-office endoscopy services
Coordinate equipment, staffing, and scheduling for procedures
Ensure adherence to sterilization and infection control protocols
Collaborate with physicians, nursing staff, and anesthesia providers
Financial & Business Support
Assist with budgeting and expense management
Monitor operational performance and identify efficiencies
Support practice growth and patient acquisition initiatives
Technology & Systems
Oversee our EMR system (ECW-eClincalWorks) usage and optimization
Coordinate IT support and troubleshoot operational issues
Facility & Vendor Management
Coordinate vendors and contractors for new facility setup
Manage service contracts (cleaning, waste, maintenance)
Ensure a clean, compliant, and professional environment
Qualifications
3–5+ years of medical office management experience required
Experience in gastroenterology or procedural settings preferred
Strong understanding of healthcare operations and billing workflows
Bilingual (English/Spanish) strongly preferred
Experience with ambulatory or in-office procedures is a plus
Excellent leadership, organizational, and communication skills
