The Medication Management Coordinator is a professional responsible for overseeing clinical schedule and administrative tasks. They work closely with our medication prescribers servicing our clients. Employees in this role are expected to provide exceptional customer service and collaborate closely with our providers. The MMC should exercise sound judgment and discretion; demonstrate initiative, loyalty, cooperation and self-sufficiency when performing assigned tasks and responsibilities. The MMC should be highly organized, detail-oriented and have excellent interpersonal and communication skills. This position requires a 90 day probationary period upon hire; offers are contingent on satisfactory criminal background checks and reference checks.
This position will float between our 2 locations of Parham and Huguenot Road throughout the week to support our PMHNP's at each location.
Functions: ● Welcoming clients to the facility. ● Provide prescription support by contacting clients and pharmacies, reviewing the Virginia Perscription Monitoring System when appropriate, and coordinating prescription requests. ● Assist prescribers with prior authorizations by completing forms, contacting payers, and tracking approvals, denials, and appeals to ensure documentation is added to the patient’s chart upon receipt. ● Assist billing specialists in obtaining insurance authorizations and benefits coverage, as needed. ● Assist in making referrals to other providers. ● Complete all client intake paperwork, process it and enter it in the EHR as needed, ensuring completion of accurate paperwork. ● Schedule appointments for new patients and follow ups, as needed ● Maintain a Master Patient list for PNPs ● Collaborate with the intake coordinator to ensure consistency for clients seeking medication management in conjunction with psychotherapy. ● Answer phone and email inquiries in a timely manner ● Assist in contacting clients to remind them of appointments, reschedule appointments or when they miss appointments. ● Submit and review Labcorp orders, as requested and track final reports to upload to the patient's charts.. ● Assist in the completion of formulating letters, forms and paperwork for clients, i.e., Homebound Instruction forms, College Accommodations letters, PNP Services Discharge letters, etc.. ● Address any client concerns. ● Perform clerical duties such as filing, scanning, copying and faxing. ● Prepare and maintain client charts, periodically conducting paperwork audits. ● Collaborate with other agencies or entities for continuity of care, including obtaining medical records, hospitalization discharge summaries, short-term disability paperwork, required ADHD Evaluations, etc. ● Coordinate PMHNP schedules and update as needed, creating next day schedules on a daily basis to be shared with PNPs for a back-up system, if program becomes inoperable ● Field medical records requests and adhere to HIPAA regulations. ● Work collaboratively with individuals and community referral sources seeking services. ● Maintain a waitlist and update accordingly. ● Provide coverage when other support staff are out of the office. ● Coordinate and schedule pharmaceutical representatives' visits to the office, including setting up breakfasts/lunches/meetings with PNPs. ● Manage office facilities and environment, assuring via other support services, that the facility is maintained in a safe and clean manner and presents a professional environment at all times. ● Complete various special projects, which may require reviewing and analyzing information, identifying problems, recommending solutions, and writing reports. ● Ensure quality program management through compliance with federal, state and local regulations. Medication Management Coordinator Skills and Qualifications: A Medication Management Coordinator is a professional with a mental health background who uses their industry knowledge, soft skills and technical abilities to handle the day-to-day elements of client contact. These skills and abilities include: ● Ability to solve problems within their scope of responsibility, analyze facts and exercise sound judgment in arriving at conclusions. ● Strong interpersonal skills with the capacity to project warmth and empathy. Effective listening skills and patience. ● Highly proficient use of computer applications such as Word and Google Suite. ● Proficient in EMR/EHR Systems. ● Excellent verbal and written communication skills. ● Excellent customer service with a client focus. ● Excellent professional and collaboration skills with other professionals. ● Ability to multi-task and balance multiple fluctuating priorities at once. ● Maintain strict confidentiality for all client and practice information, consistent with established security and confidentiality policies and HIPAA regulations, at all times. ● Firm understanding of health and safety standards. ● Flexible in taking on new work assignments and working in new processes.
Medication Management Coordinator Education and Training Requirements: ● Bachelor’s degree of equivalent experience required. Preferred degree in social services field, business, health care administration, public health or health information management.
Medication Management Coordinator Experience Requirements: ● 1-3 years experience working in clinical, behavioral health setting or medical/healthcare facility ● Experience handling clients, their families and other caregivers.
