Meetings, Conference And Rooms Coordinator
The Franciscan Renewal Center (FRC) is a non-profit Catholic retreat center and home to Our Lady of the Angels Church. Founded in 1951 by the Order of Friars Minor, with a mission of “renewing lives through spiritual growth, healing, transformation and service to others.” Our retreat center has 86 guest rooms, and 24,000 square feet of meeting space located on 25 acres in scenic Paradise Valley. The Meetings & Conferences Coordinator books non-profit and faith-based group retreats, including guest rooms and meeting/conference space on-site at the FRC and ensures a seamless experience for our guests. The retreat center is seeking a dedicated hospitality/hotel professional to support established/repeat guests and inbound inquiries for rooms and meeting space. The Coordinator plays a pivotal role in creating peaceful and rejuvenating experiences that leave a lasting impact on our visitors, through their strong work behind the scenes requiring attention to detail, expert reservation skills, impeccable organizational skills, and strong communication and interpersonal skills. Responsibilities: This full-time, 100% on-stie position reports to the Director of Meetings & Conferences. Responsibilities include: • Handles all aspects of a group's retreat, from screening phone calls, negotiating contracts, entering all rooming lists and meeting room set-up details in our system, oversight of logistics for conference space, conducting site inspections, to invoicing clients. • Additional duties include taking individual private retreat reservations and entering in-house meetings in the Retreat Manager program. This position does not work with outside vendors as meals are included in room rates and packaged to accommodate the often-limited budgets of non-profit and faith-based organizations. Strong emphasis on group room reservations and modifications as needed to maximize occupancy and inspection of meeting/conference spaces prior to events. Qualifications: • Proven experience as a Convention Services Manager or similar role - 2 years exp preferred, including rooms/inventory management • Min of 2 years HRS or CRS experience preferred • Excellent communication and customer service skills • Strong organizational skills and attention to detail • Problem-solving skills to ensure the successful execution of a meeting or event • Strong collaboration skills to work across departments • Ability to work a flexible schedule, including weekends, evenings and holidays as needed due to business levels Interested individuals should include a cover letter and current resume.
