    The purpose of this position is to manage TVMA’s Veterinary Student Engagement program and Large Employer membership program. In carrying out this purpose, the individual will work with autonomy and independent judgement within defined limits to coordinate efforts with TVMA Executive Committee, veterinary school officials, TVMA student delegates, corporate employers, members, and TVMA staff.

    Job Duties

    The areas of responsibility for this role fall into three main categories:

    1. Large Employer Membership Program Management:

    Coordinate membership renewals with the corporate employers participating in the Large Employer program.

    Manage the membership database to reflect adds, drops and transfers reported by the Large Employers on a quarterly or annual basis.

    Research members who are dropped from the Large Employer roster to update them in the database and encourage them to continue their membership.

    Create annual invoices for the Large Employers reflecting their updated rosters.

    Research potential new Large Employers and coordinate their onboarding.

    Prepare reports for management as required.

    1. Student Engagement Program Management:

    Develop relationships with veterinary school officials and student leaders.

    Coordinate and attend student engagement and faculty events at veterinary school campuses.

    Organize, manage registration and attend Recent Graduate & Student (RGS) Mixers at TVMA’s Annual Conference and Southwest Veterinary Symposium (SWVS), including obtaining sponsorships for the event.

    Manage volunteer schedules and student travel stipend distribution at Annual Conference and SWVS.

    Coordinate initiatives related to the Senior Student Delegates, including managing their attendance at events, monitoring and requesting their delegate stipend distribution, coordinating and managing their school contingency budgets, and supporting them with questions about TVMA operations.

    Coordinate planning, acquisition and distribution of annual veterinary school student gifts.

    Process new student members and manage the student information in the membership database.

    Participate in designing and coordinating new student initiatives (e.g. externship program, mentoring program, etc.).

    Prepare reports for management as required.

    1. General Communications:

    Write articles and captions for TVMA publications and social media.

    Create and update standard operating procedures (SOPs).

    Create and execute a communications plan.

    Serve as the staff liaison and attend meetings of the Recent Graduate & Student Liaison (RGSL) and TVMA/SVM Liaison committees.

    Participate in the TVMA exhibit booth at Annual Conference and SWVS.

    Qualifications

    Minimum five (5) years’ experience in a responsible office environment position with a Bachelor’s degree in related field preferred

    Competency in a Macintosh computer environment and proficiency with common business application software such as Microsoft Office and Adobe InCopy

    Experience in an Association or Academic setting preferred

    Experience with MemberSuite or other association management system highly preferred

    Experience with event planning and exhibiting a plus

    Must be self-directed, well-organized and detail oriented with ability to balance multiple tasks and competing priorities with periods of high stress while meeting deadlines

    Ability to work within established performance standards, to establish program outcomes and planning objectives, and to work independently toward these goals with minimal day-to-day supervision

    Strong verbal, telephone, and written communication skills, including ability to exercise diplomacy and use sound judgment in dealing with association members, school officials, sponsors, and corporate employers

    Effective and friendly communicator able to be a team player who works well with staff, members, volunteers, and business community

    Availability to work and travel several evenings and weekends throughout the year including Association major conferences in February/March and September.
