    Job Summary :

    A Memoir Event Producer is responsible for the planning, organization, and execution of epic events owned by Memoir and also on behalf of our diverse clientele. The event Producer works directly with clients and owned event venues to ensure that individual events fall within the approved scope, budget and schedule - meeting the goals of both the company and our client or venue partner.

    The position requires experience and a proven track record managing successful large-scale events. The Event Producer must possess strong communication skills, the ability to think creatively and strategically, excellent interpersonal skills, and a passion for creating memorable experiences.

    Key Responsibilities :

    Planning:

    The Event Producer is responsible for leading the planning of all aspects of an event, working in tandem with the team for a project, including the essential coordination with the Memoir creative team to evaluate options in the context of budget and scope and to ultimately ensure that the event vision is executed.

    Budget Management:

    The Event Producer is responsible for creating the event budget, including assisting the sales team when a proposal is developed. Budget management includes tracking scope and cost changes, managing vendors, suppliers and labor, to appropriately ensure an under or on-budget conclusion to an event.

    Schedule Management:

    The Event Producer is responsible for managing detailed event timelines and project plans, ensuring timely completion of tasks and milestones. This includes responsibility for the creation of event timelines, check lists, SOPs and schedule controls; then managing the event schedules to ensure a timely opening and execution of each company event.

    Vendor Management:

    The Event Producer is responsible for soliciting, contracting, and managing all event vendors, to ensure schedule and budget compliance.

    Team Coordination & Management:

    The Event Producer is responsible for coordinating with key external (e.g., equipment rentals, asset purchases, etc.) and internal team members (e.g., Creative, Build, Warehouse, F&B, Technology, etc.) to ensure that there is collaboration and execution of duties, schedule and budget management for each aspect of the event. In addition, the Event Producer will supervise, train, and coordinate the activities of the event support staff, including assigning tasks and managing schedules. The Event Producer will schedule and run meetings that are appropriate and necessary with all stakeholders.

    Marketing and Promotion:

    The Event Producer is responsible for collaborating with the company creative department to develop and implement marketing strategies to promote events and drive attendance. This includes directing Memoir’s internal team or vendors to create promotional materials, social media content, press releases, etc.; and coordinating with clients and venues in regard to co-promotion of events.

    Client & Venue Communications:

    The Event Producer is responsible for continuous and proactive communication with clients, venue partners, and the project team, informing and updating in regard to the progress and status of an event from inception through conclusion and the appropriate postmortem conversations.

    Event Evaluation:

    The Event Producer is responsible for evaluating the event success and providing post-event analysis, insights and recommendations for future improvement. This includes creating and maintaining comprehensive project documentation in accordance with the company’s practices.

    Work Hours

    Memoir operates with a hybrid office schedule, currently requiring Tuesday and Thursday presence in the Memoir office. This is subject to change at the discretion of the company.

    Work hours are Monday through Friday, 8:30AM to 5:30PM. This role requires flexibility to adjust work hours and days, depending on project workflow and requirements of projects managed by the Producer. The Producer should expect some work will be required on weekends or holidays.

    Qualifications & Skills:

    1. Post-High School degree in Event Management, Hospitality, Business Administration, or a related field. Bachelor’s Degree is preferred.

    2. At least 3-5 years of experience in event planning, project management and production, with a proven track record of successful events of various sizes and types.

    3. Strong negotiation and vendor management skills.

    4. Strong leadership skills and the ability to manage multiple projects simultaneously.

    5. Exceptional communication and interpersonal skills, with the ability to build and maintain relationships with clients, vendors, and team members.

    6. Proficiency in relevant (event planning, budgeting, scheduling) software and technology; including ticketing systems, and project management platforms.

    7. Experience managing budgets.

    8. An adaptable, and team-oriented mindset, with the ability to work under pressure and meet tight deadlines.

    9. Availability to work flexible hours, including evenings and weekends, as necessary; and to travel as needed for events and client meetings.

    Key Performance Indicators (KPIs) & Goals:

    As part of Memoir’s commitment to fostering employee success, Key Performance Indicators (KPIs) will be established for this role at least annually. These KPIs serve as measurable benchmarks to gauge performance and progress towards organizational objectives. However, we recognize the dynamic nature of your work and the need for agility in goal setting. Therefore, KPIs may be subject to revision and updates throughout the year, particularly in the context of regular employee reviews. This ensures that objectives remain relevant, challenging, and reflective of evolving priorities, empowering employees to continuously strive for excellence and drive impactful results within their roles.
