    OVERVIEW The Executive Assistant's primary function is to assist the Executive Director with management of their schedule, office, relationships, administrative deliverables and management of the board.

    EDUCATION, EXPERIENCE AND SKILL REQUIRED Bachelor's Degree or 5 years of experience in Administration. Spiritually mature, achievement oriented, big picture and detailed oriented, persuasive in communications, innovative, critical and forward thinker. Self-starter and implementer. Positive and Team player attitude. Strong written and verbal communication skills. Highly organized, and able to have a high attention to detail. Cool and Calm under pressure. The ability to multi-task and work for several different directors. A high degree of confidentiality. Adept in developing and maintaining strong relationships with management, staff donors, board members and other stakeholders. Able to adjust to last minute changes. A reasonable level of IT Troubleshooting. AUTHORITY 1.Authority to accomplish this job is given by the Executive director to whom the Executive Assistant is responsible. 2. Authority is given to purchase equipment and materials necessary to accomplish this job. 3. Authority to use a Mercy Street Credit Card. 4. Authority to spend up to $2,000.00

    KEY RESULT AREAS

    1. MINISTER OF THE GOSPEL The Executive Assistant is first and foremost considered to be a Minister of the Gospel. This position furthers Mercy Street's religious mission by: ● Following Jesus Christ and setting an example for others through their lifestyle. ● Exhibiting a passion for sharing the Gospel with others. ● Being willing and able to explain the message of the Gospel to kids and families of Mercy Street. ● Being willing and able to counsel, shepherd, and disciple kids and families of Mercy Street in a manner consistent with the Bible. ● Being willing and able to explain Mercy Street's beliefs and Statement of Faith in person or over the phone to kids and families of Mercy Street. ● Being ready, willing, and able to lead or contribute to distinctly Christian activities (including, but not limited to, worship or staff chapel).

    2. MANAGING THE EXECUTIVE DIRECTOR'S SCHEDULE AND OFFICE ● Adds appointments to the calendar, cancels appointments if ED is out of office, moves appointments as needed, and clearly communicates schedule to all parties involved. ● Anticipates the needs of the ED on the basis of looking at the calendar. ● Ensures ED has all relevant materials for each meeting. ● Coordinating all aspects and logistics of business trips. ● Assists the ED in keeping his office organized and clean.

    3. MANAGING THE EXECUTIVE DIRECTOR'S RELATIONSHIPS ● Provides critical, high-level support to the ED by prioritizing correspondence to reflect organizational priorities and ensuring follow-up on internal and external correspondence addressed, as needed by the ED. ● Represents the ED in a professional organized manner in word, deed and appearance. ● Serves as a host to any guest the ED may invite to Mercy Street.

    4. MANAGING THE EXECUTIVE DIRECTOR'S ADMINISTRATIVE DELIVERABLES ● Provides high-level, value-added administrative support to the ED, as assigned and in a timely manner. ● Plans, manages, and executes all aspects of high-level special projects, as assigned and in a timely manner. ● Assists ED in regards to a timely submission of Check requests, credit card statements, and any other needs of the financial department. ● Works with ED to create powerpoint presentations, letters, reports and other documents.

    5. MANAGING THE BOARD ● Coordinates board meeting logistics including meeting location, food, audio/visual, and materials needed. ● Participates in board activities in a highly professional and confidential manner. Records attendance and produces board minutes, manages/updates yearly documents, and processes other documents for the board as needed. ● Organizes and maintains all Mercy Street corporate documents including By-Laws, and other corporate and board related documents. Maintains hard copy and electronic files of Board Reports, documents, and other related materials as appropriate. ● Coordinates timely completion of all Board Reports/Executive Director Reports, ensuring accurate and high quality reports. Responsible for assisting the Executive Director in any way so that the Board Report/Executive Director Report is sent out electronically when needed. Responsible for distributing Board Reports to Board members accordingly at scheduled meetings. ● Creates and provides Board Orientation Packets to all new Board Members. ● Provides any and all other Board related administrative support as needed.

    6. MERCY STREET STAFF ● Provides clerical and general office support to other offices. ● Delegates tasks and responsibilities to the other staff members when appropriate. ● Plan and communicate staff development activities, at least 4 times a year. ● Plan and recruit staff for ‘love' activities – birthday celebrations, secret santa, weekly snacks, Christmas door decorations, etc.

    7. OTHER DUTIES AS ASSIGNED BY THE EXECUTIVE DIRECTOR ● Serve on appropriate committees; attend staff meetings, and other staff functions. ● Strengthen teamwork, collaboration, alignment, morale, transparency, credibility, and trust throughout the ministry. ● Fulfill necessary tasks, projects or roles as assigned.
