Mighty Minds and Muscles is a small boutique pediatric occupational therapy team in Tribeca looking for a part-time office assistant (20-30 hours) that is organized, honest, quick-thinking, fast learning, independently driven and a multi-tasker. Required skills with computers, professional writing and public speaking. Looking for serious long term commitments only!! This is not a temporary role. You will be directly supporting the owner/clinical director as well as the clinical manager and practice manager. Team work is the only way to make our dreams work. As this role is diversified, you will be supporting the efficient flow of these areas:
Scheduling - using our EMR calendaring system, responding to emails from parents, tracking therapist availability/vacations
Atmosphere - greeting clients, learning nannies and parents names, keeping lobby organized and presentable, restocking bathroom supplies, general equipment organization after busy hours, basic cleaning (there is a cleaning company)
Insurance - calling to request client benefits, faxing documents, filing mail, uploading to DropBox,
Billing - coordinating paperwork for billing, receiving payments from clients
Admin Team - simple and local errands, occasional lunch run
Parent relations - be the first face upon entering the building, relaying messages, taking information from referrals over the phone and in person, excitedly share our mission, diffusing any miscommunications, passing along messages to the correct colleagues
Clinicians - assisting in therapy sessions by engaging the child while therapist does the hands on work, occasionally helping child transition to/from session upon request
The following are important points to note regarding this job.
Approximately 85% desk-oriented
Hours may be flexible, EXCEPT during the after-school rush (2:30-6:30pm).
Frequency: 4-5 days per week (approx. 20-30 hours/week). Part-time to start with potential to be full-time in the future.
Contract position with pay based on experience and role.

Applicant Qualifications:
College degree
3+ years related experience
Significant direct experience with medical billing and office coordination is preferred.
Applicants must work well with children and work well as a team.
Applicants must possess fundamental computer knowledge (Word, Excel, GSuite, Dropbox, Quickbooks, iPad apps, MailChimp, Telehealth platforms, etc .).
Must be organized and willing to work in small spaces (it is Manhattan!)
Excellent English language writing and communication skills.
Experience with accounting or bookkeeping.
Be professional, mature and responsible.
Be willing to be fingerprinted and have background check completed.
Be willing to complete trial computer tasks to prove your abilities and knowledge.
Experience working with children in a work or volunteer capacity with related references.
Lift 50 pounds or more.
A PLUS: Experience with healthcare administration. Experience with a non-profit, grant writing. Experience with social media and marketing. CPR trained. Multiple languages (Spanish and/or Chinese preferred)
