    Job Description

    OVERVIEW: The Office Manager will be responsible for performing a wide range of administrative, office support, and facilities management activities in support of a small office.

    ESSENTIAL JOB RESPONSIBILITIES/FUNCTIONS:

    · Maintain customer relations/customer service including on the phone and in office and customer follow-up

    · Data entry that includes but is not limited to entering orders, invoicing, price sheets, spreadsheets, and other special projects

    · Schedule and dispatch plumbers to jobs

    · Write quotes

    · Set up appointments for delivery

    · Accounts receivable, account payable, and vendor payment management

    · Locate, procure, and maintain product inventory for orders that are placed based on request of plumber

    · Complete the payroll and union paperwork

    · Track preventative maintenance on company equipment

    · Lead the marketing activities of the office both in print and social media

    · Track and communicate company metrics

    · Follow and comply with all safety and work rules and regulations. Maintain departmental housekeeping standards

    · Complete special projects as assigned

    · Ability to handle multiple jobs, simultaneous projects in a fast-paced environment meeting timelines and deadlines

    · Ability to prioritize, multi task, and shift priorities as necessary

    · Knowledge of MS Office software including Excel, Word, PowerPoint

     

    QUALIFICATIONS:

    · High School Diploma is required, Associates or Bachelor’s Degree is preferred

    · At least 2 years of experience in an office or administrative support role

    · Professional, positive personality and demeanor

    · Excellent customer service

    · Detail oriented, able to multi-task effectively and work well under deadlines

    · Proficient with MS Office - Excel, Word, PowerPoint and Outlook

    · Proficient in QuickBooks
