    Job Description

    The Mining Operations Administration Officer provides essential administrative and operational support to the Surface Mine Operations team, ensuring smooth and efficient functioning of departmental tasks. This role focuses on maintaining supply access, managing data entry, handling requisitions, document control, and coordinating department events and activities. The officer also ensures compliance with company standards and supports the Mine Manager and drill & blast personnel.

    Key tasks and responsibilities:

    • Produce, update, and provide best practice support on MS documents, general administrative duties, and data entry.
    • Organize and process requests for purchasing and warehouse withdrawals as needed within the department, receive, and facilitate processing of invoices from suppliers, contractors, and ensuring items are properly paid in their corresponding areas.
    • Provide direct support to the Mine Manager and all areas of Surface Mine Operations.
    • Respond to routine requests using form letters or emails and to more unusual requests by editing templates to create customized responses.
    • Compile and report on proper paperwork completion by operators to ensure that department adheres to company standards and protocols.
    • Manage hourly departmental amendment process by ensuring employee sign and return in a timely manner and tracking their status.
    • Prepare routine letters, memoranda, reports, and similar documents following detailed instruction. This is likely to involve using the full range of functions within standard office software as well as new additions and upgrades. As well as taking detailed technical notes for meetings as requested.
    • Schedule appointments, meetings, and conferences to facilitate business meetings for mine operations (to include scheduling physicals with Nurse each year, and MSHA refresher each year) and technical services groups when necessary.
    • Organize own workday to get through daily tasks and requests.
    • Complete allocated work to the required standards of quality and timeliness.
    • IT Access and Hardware requests for all new and existing employees.
    • Pronto requisitions input 75% of workload to include: pick tickets to order office supplies and items for the line out room, requisitions, PO lookup for accruals and to ensure they have been approved by all required.
    • Direct contact for the safety equipment vending machine access as well as creating requisitions to keep all PPE stocked.
    • Maintain spreadsheet documentation of equipment rentals for all areas of Surface Mine Operations as well as approve invoices coming in by email prior to AP placing in the Manager’s folder for checking of appropriate Superintendent and approval of Mine Manager.
    • Reconciliation of company credit card website for company purchases.
    • Technical note taking for meetings in Surface Mine Ops as well as other groups in need.
    • Other reasonable duties as required to fulfill the needs of the role.
  • Qualifications

    Qualifications

    • 7 years’ experience in a similar role.
    • Creative problem-solving, a high attention to detail and a hands-on approach.
    • Highly self-motivated and directed, with attention to details.
    • Ability to effectively prioritize tasks in a high-pressure environment.
    • Monthly accruals for Mine Operations.
    • Excellent written and oral communication skills; good interpersonal skills.
    • Strong customer service orientation.
    • Experience working in a team-oriented, collaborative environment.
    • High efficiency with planning and organizing.
    • Ability to use Microsoft systems, Pronto (use 75% of the time), and INX.

    Physical Requirements:

    • While performing the duties of this job, the employee is regularly required to stand, sit, demonstrate manual dexterity, climb stairs, talk, hear, and see.
    • Occasionally may be required to lift moderately heavy objects (up to 25 pounds) during the workday.
    • Work is in a surface mine setting, which may include exposure to extremes in temperature and humidity.
    • Personal protective equipment is required when performing work in a mine environment, including hard hat, hearing protection, safety glasses, safety footwear, and as needed, respirator, rubber steel-toe boots, protective clothing, gloves, and any other protective equipment as required.
