    We are seeking an experienced Department Administrator. If you love helping others, and wearing multiple hats, this is the job for you!     Job Summary: Primary responsibilities include general administrative support, order processing, customer communications, preparing bills of lading, arranging pickups and deliveries, and coordinating with internal personnel.

    Essential Job Functions and Responsibilities:

    Handle customer requests for quotes (as assigned)

    Receive, review and input customer orders (small scale orders)

    Customer service for assigned small scale accounts

    Coordinate drawings and design questions with engineers for assigned accounts

    Monitor customer portals, internal portal for new and revised purchase orders

    Maintain shipping schedule with current ship dates, update dock matrix and send to carriers weekly

    Handle logistics for shipments; contact carriers, create bills of ladings

    Work directly with shipping and receiving manager with updates and changes

    Assist with billing support as necessary

    Attend production meetings as required

    Other duties may be assigned based on department or company business needs

    Education and Experience:

    Two - five (2 - 5) years in customer service

    Must be able to manage multiple tasks and have excellent follow up skills

    Ability to work and communicate effectively with a wide range of co-workers in a polite, courteous, and cooperative manner

    Proficient in Microsoft Office and general computer software

    Knowledge of terminology related to the procurement, shipment, and delivery of items

    Demonstrate excellence in customer service skills

    Excellent analytical skills

    Proactive NOT reactive

    Strong organizational and interpersonal skills

    Ability to work both independently and within a team environment
