We help families and businesses overcome the devastating setbacks caused by water, fire, mold, biohazard, and other conditions resulting in property damage.     Job Summary: PuroClean Emergency Restoration Specialists is seeking a highly organized and detail-oriented Mitigation Claims Coordinator / Administrative Specialist to manage the documentation, communication, and administrative workflow for our mitigation and restoration projects. This role bridges field operations and billing by ensuring all job documentation is complete, accurate, and properly submitted to insurers, TPAs, and vendor programs such as Contractor Connection, Alacrity, Symbility/CoreLogic, and PuroLogic.

    In addition to claims documentation, this position supports daily office operations, customer communication, online reputation management, and coordination of job logistics across multiple service lines.

    What You’ll Do:

    Receive estimates, photos, drying reports, job notes, and other documentation from estimators and production crews.

    Review documentation for completeness, accuracy, and clarity (photos, logs, scope details, notes).

    Ensure submissions meet insurance and vendor-program requirements, including timeliness.

    Upload all documentation to third-party portals (Contractor Connection, Alacrity, PuroLogic, Symbility/CoreLogic).

    Communicate with adjusters, TPAs, and carriers to answer questions, submit requested information, and follow up on approvals.

    Track claim progress, maintain organized internal records, and follow through until each claim is closed or billed.

    Work with project managers and crew leads to obtain missing documentation, job notes, photos, or revisions.

    Assist with subrogation training and ensure required documentation is maintained for potential subrogation opportunities.

    Answer incoming phone calls and provide professional customer communication.

    Process new jobs by entering them into the system, creating job folders, updating the job board, and preparing technician time sheets (excluding Reconstruction/Build jobs).

    Coordinate jobs across all service lines including MIT (mitigation), MLD (mold), CON/CLN (construction/cleaning), BIO, and large-loss projects.

    Work with the Virtual Assistant (VA) to ensure estimates are completed in a timely manner.

    Monitor and manage Contractor Connection JobTrack for MIT & RB programs—respond to out-of-compliance notices and maintain compliance.

    Manage and update PuroLogic with daily job tasks, job notes, scheduling updates, and calendar assignments.

    Follow up with customers when jobs are completed and provide review links.

    Track Google Reviews and assist with review campaigns.

    What We’re Looking For:

    Familiarity with restoration or mitigation workflows (water, fire, mold) — or willingness to learn quickly.

    Strong proficiency with Xactimate; familiarity with Symbility/CoreLogic is a plus.

    Highly comfortable with computer-based tasks, documentation, and web portals.

    Exceptional attention to detail—able to spot missing reports, unclear photos, or incomplete submissions.

    Strong communication skills for coordinating with field crews, insurance carriers, TPAs, and internal staff.

    Highly organized, reliable, and capable of managing multiple active claims and tasks at once.

    Teachable mindset with initiative to follow through and solve problems independently.

    Previous experience working with preferred-vendor programs or TPAs

    Familiarity with Microsoft Office (Word, Excel) or other admin software
