Position Summary
The primary responsibility for the Client Operations Assistant is to ensure the NY Salon is presented and functioning at or above the operational standards. In addition, this position supports the General Manager with daily inventory activity and ad-hoc appointment flow requirements “behind the scenes” for Moda Madison.
Role Priorities • Inventory standards and control of all receipts and returns of inventory entering/leaving the Salon, both M’O owned and samples • Maintenance of Salon “4-walls” • Ensuring the quality and care of all merchandise is upheld and damages are prevented and reported
Performance Requirements • Track clients’ orders (liaise with Operations Department as needed) • Process client orders ensuring timely delivery; manage shipping and receiving of packages • Receive all TO’s from warehouse and verification confirmed against documentation • Receive all samples and verification confirmed against packing slip; • Assist with the management of Trunkshows, communicating with vendors/merchandising team to ensure a smooth process • QA of all merchandise upon receipt and immediate notation of any damages • After receipt of merchandise, ensure all inventory is up to Moda Operandi presentation standards (tags tucked, merchandise steamed, etc.) • Coordination of all messenger deliveries • Assist stylist as needed in preparation for appointments • Oversee daily Jewelry inventory piece counts • Work closely with logistics team and NY Warehouse to address any stock delivery issues • Follow-up with inventory reports as needed • Coordinate with strategic partners on all consignment merchandise (Vendors, Jewelry designers and Art Galleries) • Responsible for showroom upkeep, repairs, supplies, packaging, etc • Coordinate stylist/client consignment business in conjunction with management
Qualifications
Essential Skills, Experience and Educational Requirements • Bachelor’s degree • Fluent in Microsoft Office • Understanding of luxury client attributes, needs and expectations • Market, product and brand awareness, ability to match this knowledge to customers’ needs • Demonstrated understanding of customer care as an integral function of the business • Strong capacity for detail and numbers, documentation matching, verification and balancing results • Proven track record of constantly raising-the-bar on quality, elevating service levels, and driving sales through efficient inventory management/processes • Excellent English verbal and written communication skills • Outstanding interpersonal skills and ability to build and maintain relationships in all scopes of business • Autonomous self-starter, confident trouble shooter and decision-maker, able to work independently and as part of a team • Ability to project an approachable and professional image in personal appearance, manner, and demeanor
