    Successful, boutique law firm with a great culture is searching for our next AMAZING Team member! We are looking for a Client intake Manager to run the client intake process at our Firm. At Monteforte Law, all employees are encouraged to grow, thrive, and live their best lives. The Client Intake Manager plays an integral role in building lasting relationships with clients and their families. The position is responsible for helping clients through our process, and for improving the intake experience for our clients and our Firm. This is a public-facing, full-time role and will be exclusively in-office. We don't work late, we don't work nights, and we don't work weekends!

We specialize in Wills, Trusts, asset protection, wealth preservation, elder planning, MassHealth Medicaid Long-Term Care applications, and other areas of elder law such as guardianship and conservatorship.     What does a typical day look like? Job responsibilities will include but are not limited to:

    Answer all incoming phone calls, greet/check in/announce all visitors, take messages as necessary;

    Coordinate 3 year review dates for respective clients;

    Streamline and improve intake processes;

    Scheduling appointments, and handling all client intake matters and client relationships;

    Being the first point of contact for potential clients who call the office, which includes explaining how we help people, and "selling" the firm by securing appointments;

    Some general office duties, such as copying, scanning, and filing;

    Following up with potential and existing clients.

    Keeping the clients happy! We love our clients. Sometimes we send them gifts, or just call them to make sure all is well. You would lead this charge;

    Creating cover letters, mailing to clients and leads.

    Basic data entry into intake forms, which you will be trained on.

    Responsible for Phone System (includes general voicemail & Holiday messages);

    Clerical work, printing and mailing letters, scanning documents;

    Pick up/sort/distribute mail daily;

    Information source to clients/prospective clients on seminar dates and reservations as needed;

    Assemble coffee and water each morning and throughout the day for clients;

    Schedule walk-in appointments and other appointments as necessary;

    Making sure waiting area is clean & Marketing flyers are stocked;

    All other projects as assigned.

    REQUIRED SKILLS:

    Excellent Telephone/Meeting Etiquette, Excellent Oral Communication Skills, Written Communication Skills, Professionalism, Interpersonal Skills, Organization, Planning, Proofreading and Grammatical Skills, Time Management, Computer Literacy.

    EDUCATION/TRAINING:

    High School Graduate and at least two (2) years related work experience in a business setting required.

    Knowledge of estate planning and elder law is not a requirement but will be a bonus!
