    Multi-office Houston law firm seeks Firm Administrator. The Administrator provides firmwide leadership and manages all functional areas of the business operations including supervising all non-attorney personnel; evaluating and managing the Firm’s operating and information systems; leads the Firm’s strategic and operational finance and accounting functions, including the accounting department; participates in firm-wide decision making; and ensures that strategies and tactics are effectively planned and implemented.

    The overall objective is to maximize the law firm’s financial success and to ensure that all administrative functions perform in a highly proficient and team-orientated manner.

    The Legal Administrator reports to the Firm’s Board of Directors with day to day direction from the Firm’s Managing Director.

    THE ADMINISTRATOR WILL:
    • Lead all areas of business and administrative operations of the Firm and provide strong leadership of the Firm’s administrative functions.
    • Regularly provide the Managing Director with in-depth and thoughtful analysis and advice on the Firm’s operations and financial performance.
    • Build and maintain strong lines of communication across the Firm, cultivate strong relationships with attorneys and staff firmwide.
    • Be responsible for Firm’s forecast, budget, financial reporting, general ledger accounting, billing and collections, cash flow, banking relationships, tax planning and reporting, trust accounting, payroll, health insurance programs, pension and 401(k) plans and accounts receivable.
    • Work with Human Resource Director in recruiting, training, development, performance evaluations, salary administration, benefits administration, job design and resource allocation.
    • Maintain a broad knowledge and understanding of IT operating systems and software, including systems, software and applications used in a law firm environment. Oversee and direct the Firm’s third-party IT vendor, including technology deployment strategies, security, information services, and litigation support.
    • Oversee conflict check process for new cases and notify attorneys when potential conflicts are identified.
    • Direct and manage space planning and design, lease negotiations and supplies control for all office locations.
    • Actively manage insurance needs and requirements and risk management.
    • Oversee the Firm’s third-party copy and facility vendor, including contract negotiations.
    • Attend Board of Directors’ meetings, Shareholder meetings and various other meetings throughout the Firm.
    QUALIFICATIONS - Firm Administrator
    • A minimum of 10 years of broad-based, senior management and operational leadership experience with law firms, professional services firms or similar institutions.
    • Strong business acumen, strategic finance and analytical skills; including the ability to develop comprehensive short and long-term strategic operating and business plans from broadly stated objectives.
    • Effective organizational, communications and interpersonal skills, including the ability to manage and complete multiple projects and competing priorities in a deadline-driven, client focused environment.
    • Excellent presentation, writing and verbal communication skills, the ability to interact credibly and diplomatically with all levels in an organization.
    • Proven success recruiting, mentoring, managing, and developing staff, and building and leading high-performance teams.
    • An undergraduate degree (preferably in business administration or a related field) is required; MBA and/or CPA certificate preferred.
