    Job Description:

    Mosaic Human Capital Solutions is seeking a motivated and detail-oriented Payroll and Accounts Receivable (AR) Specialist to join our internal team on a full-time basis. In this role, you will play a crucial part in managing payroll functions and overseeing accounts receivable activities to ensure the smooth operation of our internal financial processes. This position is located in San Antonio, TX, and can be hybrid.

    Key Responsibilities:

     

    1) Payroll Management:

    • Process payroll accurately and timely for internal employees using designated software/systems.
    • Ensure compliance with federal, state, and local regulations regarding payroll taxes, deductions, and reporting requirements.
    • Maintain payroll records, including updating employee information, pay rates, benefits elections, and deductions as necessary.
    • Address payroll-related inquiries and discrepancies from employees with professionalism and efficiency.
    • Assist with checking and approving contractor timecards to process for payroll.

    2) Accounts Receivable (AR):

    • Manage accounts receivable functions for internal operations, including invoicing, payment tracking, and reconciliations.
    • Work closely with internal departments to ensure accuracy in billing processes and timely collection of outstanding balances.
    • Monitor accounts receivable aging reports and proactively follow up on overdue payments to maintain healthy cash flow.

    3) Financial Reporting and Analysis:

    • Generate financial reports related to payroll and accounts receivable for internal analysis and decision-making.
    • Assist with audits and compliance reviews by preparing necessary documentation and supporting evidence.
    • Collaborate with cross-functional teams to ensure accurate and timely financial reporting and analysis.

    4) Process Improvement and Documentation:

    • Identify opportunities for process improvements in payroll and AR workflows, implementing best practices to enhance efficiency and accuracy.
    • Develop and maintain documentation of payroll and AR procedures, ensuring consistency and compliance with internal policies and regulations.

    Qualifications:

     

    • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
    • Proven experience in payroll administration, accounts receivable, or related financial roles.
    • Familiarity with payroll software/systems (e.g., ADP, Paychex, QuickBooks) and proficiency in MS Excel.
    • Strong understanding of payroll taxes, regulations, and compliance requirements.
    • Excellent attention to detail, must be highly organized, and have the ability to prioritize tasks effectively.
    • Effective communication and interpersonal skills, with the ability to collaborate with internal stakeholders.
    • Commitment to maintaining confidentiality and handling sensitive information with discretion.
