SERVICE ADVISOR
JOB DESCRIPTION
Responsibilities:
Provide Exceptional Customer Service 100% of the time (promptly answering phone calls and greeting customers professionally)
Greet customer at vehicle and complete pre service vehicle inspection with customer
Note all customer concerns and associate with job line on repair order
Obtain the customer’s written approval on all repair orders at the time of the write-up or when closing additional add-on sales.
Consult with technicians about needed repairs and customer concerns when the repair order is dispatched.
Look up labor times and communicate with parts department for accurate job estimates
Schedule appointments and manage customer expectations based on work schedule and parts availability
Promptly contact customers with service estimates by phone call and/or text message
Complete post service inspection after work is completed before customer pick up
Verify all documentation is correct (vehicle and customer information) and description of cause and correction is correctly notated on all repair orders.
Facilitate customer pick up and drop off / Deliver the right vehicle in perfect condition every time.
Check the Parts Department for parts for work in progress on service repairs
Check for open recalls for vehicles in for service (vehicle history report every time)
Review Lightspeed declined service reports and recontact customers for declined work
Follow up with customers to ensure complete customer satisfaction of repair completed or concerns addressed.
Processes warranty claims on a timely basis for each franchise or distributor.
Processes all warranty paperwork to ensure proper documentation.
Verifies criteria required by factory or distributor.
Resubmits all rejected claims promptly or receives authorization to write them off.
Follow up on payment of outstanding claims.
Tracks warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed .
Files and maintains all service records as required by the warrantor.
Keeps informed of all factory recalls and bulletins.
Assists with any clerical needs as directed by the Fixed Operations Manager or the Controller.
Complete all Manufacturer and dealership training.
Achieve CSI scores and reviews goals by Senior Management
Other duties as assigned
Qualifications:
Prior service writer or technician experience preferred.
Exceptional Oral and Written Communication Skills via phone, one-on-one and online are a must.
Proficient in basic math and writing skills.
Excellent cash handling skills.
Excellent troubleshooting skills.
Proven customer service track record or obvious desire to provide next level customer service.
Comfortable in a high paced, competitive environment (all while actually ENJOYING your job!!!).
Pass drug testing, background investigation/interview and pre-employment assessment.
