    Finance Associate Job Description

    Our mission at The Mott Haven Academy Charter School is to empower children in a supportive educational environment while addressing and reducing the barriers to academic success through the integration of family support services with a rigorous, college-preparatory academic program.

    The Finance Associate reports to our Chief Operating and Talent officer and works with our accounting consultants to support non-academic operations, ensuring compliance with applicable laws, regulations, and requirements outlined by GAAP, internal financial policies and procedures, and partner/funder agreements. The Finance Associate is responsible for the accounts payable process, vendor relationships, and the management of financial documentation including:

    Accounts Payable and Bookkeeping

    • Contribute to the development of systems and procedures for bookkeeping management
    • Process all school accounts payable activity in a timely and accurate manner, including prepaid invoices and credit card charges
    • Responsible for data entry of all invoices in the accounts payable system ensuring accurate coding of the invoices to the proper account
    • Confirm that invoices have proper approval & supporting documents (contracts, purchase orders, packing slips) before entering the invoice into the accounts payable system
    • Reconcile monthly bank and credit card statements assuring that receipts and all other supporting documents are obtained
    • Maintain purchase orders, packing slips, credit card receipts, and documentation as outlined in policies
    • Respond in a timely manner to any questions related to closing the books

     

    Financial Reporting and Budgeting

    • Draft documents and/or presentations as needed for monthly,  quarterly, and annual reporting

    • Provide timely responses to inquiries pertaining to budget preparation 

    • Support reporting and audit process by managing schedules and checklists

    • Collect and provide the information requested by the audit team

    • Appropriately tag all grant-related expenditures including grant-funded roles

    • Support asset management including accounting for all purchased equipment 

    • Ensure that financial documents are securely stored and archived

    Vendor Relationship Management

    • Maintain positive relationships with vendors by researching and responding to-vendor inquiries in a timely manner
    • Track and maintain vendor files including contracts and required W-9 documentation
    • Ensure compliance (W-9s received) with federal and state regulations, governing payment to vendors including companies or consultants
    • Prepare and distribute 1099s
    • Manage the purchasing process for the whole school, including setting up budgets on an annual basis

    Qualifications

    • 2 or more years of finance/accounting experience
    • Bachelor's degree required
    • Experience with accounting platforms/software such as Quickbooks and Anybill
    • Strong command of all Microsoft Office and Google Suite programs
    • Ability to prioritize and manage multiple obligations and initiatives, strong attention to detail and excellent time management
    • Outstanding communicator with clear and concise written and oral communication skills
    • Strong emotional intelligence and true ability to connect with people and interact with others with grace, competence, and warmth
    • Excellent organizational, interpersonal and problem-solving skills
    • Capacity to develop strong relationships based on trust, respect, effective communication, and common goals
