Office/Payroll Administrator
Receptionist/Admin duties:
- Answer and transfer incoming office phone calls
- First person to greet and manage flow of guests (car wash service, solicitors, visitors)
- Mail receipt and distribution
- Scan, file hard copy & e-file invoices, prelims, and certificates of insurance
- Manage file room
- Order/distribute office supplies, stationary, and business cards
- Organize/tidy up the kitchen (put clean dishes away once per week)
- Complete new job process
- Process prequalification applications
- Process and pay annual local business tax (City of Los Angeles)
- Set-up and maintain phone, internet, computer accounts
- Manage DMV file (file/e-file tags)
- Miscellaneous duties as requested
HR duties:
- Complete entire New Hire process (update and collect new hire packets, complete and manage I9’s, enter/update employees in the payroll system, complete DE34)
- Process employment status changes, compensation changes, direct deposit requests, etc.
- Complete termination procedure (cancel insurance, collect keys and close out personnel file)
- Manage FMLA, ADA, AMD, and FSLA compliance
- Conduct internal investigations involving employee situations, including but not limited to harassment, discrimination, and violation of company policies
- Complete verifications of employment
- Complete all CA state/EDD/disability and child support forms
- Process all garnishments and withholdings
- Ensure Federal and State Employment Law compliance
- Review, update, and implement administrative policies and procedures, update law posters
- Complete annual OSHA log and compliance
- Report and pay monthly Health and Welfare (4 unions)
- Recruit, interview, and hire for administrative positions
- Covid-19 safety plans, tracking, communication
- Manage Injury and Illness Prevention Program
- Process Worker’s Compensation claims
- Complete monthly Worker’s Compensation reporting and annual audits
- Annual 1094 1095B & C – Health Insurance Tax Forms
Payroll duties:
- Weekly Payroll processing
- Weekly Payroll tax calculations and payment
- Processing and filing quarterly and yearly payroll taxes
- Maintain employee sick and vacation balances
- Annual union labor rate updates
- Transmit weekly 401K payments
- Transmit weekly tax and child support withholdings
- Process all certified payroll for jobs requiring certified payroll reporting
Process annual W2 and 1099’s
