TITLE: OFFICE SECRETARY
GENERAL SUMMARY:
This position is one that requires strong work ethics, has an abundant amount of contact with the public, multitasking, and PUBLIC HOUSING EXPERIENCE. This position is under the supervision of the Director, or the Director’s designee.
TYPICAL DUTIES:
- Receive and process housing applications, conduct criminal screening reports of potential applicants through computer input, and write letters to applicants as needed
- Answer multi-line phone
- Collect and process rent payments, and post fees to tenants’ ledgers
- Generate inspection and lease renewal notification, schedule and assist Housing Manager with letter writing
- Initiate work orders for tenants requesting maintenance service
- Directly interacts with the public housing residents, including seniors, those with disabilities, and families, in a professional, fair, and firm manner
- Maintain files and official records of the Housing Commission
- Use digital transcriber to transcribe agenda and minutes dictated by the Executive Director, using Excel, WORD, and other online formats for monthly board meetings
- Handle confidential information for applicants, leaseholders, not exclusive of financial, medical, investigations, and pending legal matters
- Assume responsibility for initiation and follow-through of all legal actions: evictions, garnishments
- Provide various office functions for an office managing 288 rental housing units
- Make preparation for various vendors and schedule service providers for various properties
- Provide various assistance to senior citizens
- Organize and provide monthly calendar of events and activities
- Other duties as assigned
PUBLIC HOUSING EXPERIENCE IS PREFERRED
*SALARY IS NEGOTIABLE BASED ON EXPERIENCE
QUALIFICATIONS:
- Considerable knowledge of office equipment (multi-line phone, desktop PC and printer/scanner, fax machine, copier machine)
- Proficient in Excel spreadsheet, WORD document, and Outlook email.
- The ability to multitask mandatory.
- Ability to learn and process housing and financial data into internal software program.
- Two years of college in business or related field experience working in the housing industry preferred.
- Type correspondences (40 words per minute minimum)
