    THE ROLE

    As we embark on an exciting period of growth and change, we are looking for a professional Program Coordinator to play a key role in managing and implementing our programs across the world. The successful candidate will work closely with other departments and divisions within the organization and will become an integral part of the team.

    As a Program Coordinator, you will be responsible for:

    1. Program Management

    a. Ensure projects are delivered effectively and monitoring their progress including WASH, orphan sponsorships, health, livelihoods, and emergency.

    b. Act as a first point of contact for implementing partners and addressing any issues which are raised relating to programs including coordination with other internal departments to resolve issues.

    c. Collaborating with overseas partners to ensure their strategies are in line with the MHUSA program strategy and sharing decision-making for maximum benefit to the global programs team.

    d. Developing and maintaining relationships with partners, INGO’s, international organizations as well as local communities

    e. Ensuring reporting requirements are met, which includes monitoring program delivery and financial reporting.

    f. Ensuring that partner offices effectively use the MHUSA software suite for managing budgets and monitoring and coordinating programs across the organization.

    g. Ensuring overseas partners are working in line with partnership policies, which meet the organizational strategic aims.

    h. Reviewing and assisting with the development of partner organizations, by providing training, resources, and feedback.

    i. Developing and implementing a clear communication structure between the program and fundraising departments.

    j. Providing timely feedback to fundraising departments, supporters, and stakeholders particularly during emergencies, Ramadan, Qurbani or any other specific campaign.

    k. Being familiar with existing changes within the required standards and regulations for INGOs / humanitarian relief, development agencies and local laws (CHS).

    l. Travelling overseas to assess and evaluate the projects and overall performance.

    m. Providing programs training to junior staff if required.

    1. Strategy, Planning and Financial Management

    a. Helping to deliver the MH USA program strategy, in line with the organization’s strategic aims.

    b. Providing updates on the progress of the program strategy and financial management at regular intervals (monthly, quarterly, and annually).

    c. Ensuring all partner offices are working in line with the program strategy to achieve the organization’s agreed long-term goals.

    d. Helping to develop and implement an annual budget for the program strategy, in line with the organization’s financial procedures.

    e. Ensuring financial transactions to and by MH partners are made in accordance with MOU and program funding agreements.

    f. Using effective models and tools to enable planning and writing of program proposals that comply with the program guidelines and standards of MH.

    1. Support to Senior Management

    a. Producing and presenting programmatic feedback and financial reports to the CEO, senior management, and Board of Trustees on a monthly, quarterly, and annual basis.

    b. Advising senior management on the future projects and the viability of obtaining funds to support these.

    c. Ensuring the MH program policies and practices are followed and in line with the program standards and local regulations.

    1. Humanitarian Response

    a. Supporting the development and implementation of a strategy to deliver rapid emergency responses during disasters and human crisis.

    b. Supporting emergency teams in identifying relevant stakeholders for the emergency program (UN, NGOs, donor agencies, and private sector)

    c. Actively encouraging partners to increase collaboration with agencies, UN institutions, donors, trusts, foundations, campaigners, and standard organizations, especially during an emergency.

    1. Program Monitoring, Evaluation and Learning (MEAL)

    a. Following a regular process of monitoring and collecting data of all MHUSA programs.

    b. Ensuring effective and regular monitoring of international programs to evaluate their impact and direction.

    c. Ensuring adequate assessments are made and MEAL recommendations are implemented.

    d. Sharing recommendations based upon MEAL with all MH donors and stakeholders.

    e. Ensuring program staff are trained and follow all policies and procedures.

    f. Undertaking any reasonable responsibilities as required by line management and adhering to all policies at MH.

    Qualifications

    Experience in working as a program coordinator in the charity sector or an NGO

    a. Program management experience in a medium-sized organization.

    b. Program planning and budget management.

    c. Outstanding organization skills and problem-solving skills

    d. Can work well under pressure and to tight deadlines

    e. Management of computerized personnel information systems.

    f. Clear focus on strategic issues, with the ability to translate into appropriate action.

    g. Experience of successfully working as part of a team, openly exchanging information, and supporting colleagues.

    h. Passionate about the charity sector

    Desirable

    a. Understanding of the international development and humanitarian sectors

    b. Up-to-date knowledge of global development challenges

    c. Experience working in the not-for-profit or government sector.

    d. Strong communication skills, both written and verbal.

    e. Outstanding interpersonal skills and ability to build relationships with all staff members.

    f. Self-starter, who can set achievable targets, manage own workload, and meet tight deadlines, often under pressure.

    h. Preparing and analyzing data.

    i. Proficient IT skills - ability to use Microsoft Office.

    j. Good judgement and decision-making skills.

    k. Honest and trustworthy with a strong sense of ethical and professional behavior and always ensuring confidentiality.

    l. Excellent time management and organizational skills - able to work to tight deadlines and keep others informed of progress
