POSITION OVERVIEW
Mussett Nicholas Associates is seeking a Project Coordinator who thrives working with a dynamic and growing team of engineers and architect who handle projects for Fortune 500 companies and major universities. The Project Coordinator's primary responsibilities are to assist this team in all aspects of the construction projects including, but not limited to, development of bid packages, project manual/specifications, coordination of drawings, submittal review and submissions.
Ideal candidates will demonstrate expertise in organizational skills including attention to detail and multi-tasking, while understanding time sensitive issues. The successful candidate will possess a strong willingness to learn and progressively take on new roles and responsibilities. The Project Coordinator is uniquely positioned to make an exceptional impact on both the internal project teams and our clients.
A DAY IN THE LIFE AS A PROJECT COORDINATOR
- Works alongside multiple Engineers, Architects, and Project Managers to track and distribute project information to various team members to keep projects running smoothly and managing several projects at a time.
- Encourages, fosters, and promotes effective time management for all daily activities to produce quality results.
- Communicates with contractors throughout the country.
- Track daily construction phase services (RFI's, submittals, ASI's, etc.) to ensure each element is issued and reviewed in a timely manner. Notifies vendors/ subs/ project managers, architects, or engineers weekly to keep project information reviews returned in a timely manner.
- Assists project management with obtaining all necessary permits and licenses.
- Creates monthly cost savings reports with input from project managers.
- Manages and maintain current RFI and Submittal logs.
- Checks for accuracy in data entry.
- Track issuance and review of product and drawing submittals to ensure timely coordination between all parties involved in the review process.
- Coordination of Project Manuals with project team for incorporation of required information.
- Assists with project proposals utilizing Adobe InDesign.
- Coordinates monthly meetings with clients.
- Oversees project closeout and coordinate with Archivist.
- Prepare contracts from the AIA family of documents.
- Perform quarterly update of main Masterspec files.
- Facilitates organization of company filing systems and documentation templates.

- Must be able to work collaboratively for multiple Project Managers concurrently, along with Architectural firms, Clients and numerous Vendors.
- Employee must be an energetic, flexible, and a motivated self-starter who is ready to work and contribute to the project's success.
- Ability to understand project processes and standard progression for construction projects (i.e. document control).
- Must be able to work in deadline driven environment and manage a large volume of documents
- Answer incoming calls when receptionist is away from desk.
BACKGROUND YOU NEED TO BE SUCCESSFUL:
- Minimum of 2 years of experience working as an administrative support professional required
- Excellent skills in Microsoft Word and Excel.

- Associates in business administration or administrative office professional studies.
- Experience working in a Project Coordinator role.
- Effective communication skills.
- Proficient in Microsoft Office Suite.
- Experience using Adobe InDesign, Masterworks, Procore, ShareFile, and Bluebeam Revu.
- Have a broad understanding of construction delivery.
- Knowledgeable of Indiana's Application for Construction of Design Release and filling process.
