    Job Description

    ** Job Purpose:**

    The Business Affairs Admin Coordinator will provide support to Business Affairs Admin group at Universal Studio Group, reporting into Sr. Director, BA Admin. This person will serve as office liaison in communicating with many internal studio/network staff and executives as well as with the external business community such as talent, talent agents, managers, literary agencies, attorneys, law firms, CPA firms, unions, outside studios.

    ** Essential Responsibilities:**

    • Support to Sr. Director, Business Affairs Administration in procuring, vetting, organizing and tracking all above-the-line talent payroll and tax documentation (domestic / international) via Entertainment Partners Smart Starts System for Payroll and Accounts Payable in order to fund all development commitments including but not limited to all guaranteed fees e.g., pilot script writing, rights, non-writing producers, co-productions shares, cash flows, reimbursements in connection with all USG scripted and unscripted.
    • Interface and work closely with all Creative staff to track deliverables for scripted/unscripted.
    • Field heavy volume of emails/calls from representatives.
    • Maintain a library of latest updates/versions of company-required payroll tax forms.
    • Administer e-filing (ELF / DMS).
    • Provide telephone coverage, compose and review correspondence and communications, maintain schedules and calendar and coordinate meetings.
    • Track all USG scripted & unscripted deal memos.
    • Prepare weekly Salesforce status for all EP and AP APAR requests and work closely with Finance, Tax, Controllership for workflow approvals and timely payment turnaround.
    • Issue WGA Notices of Tentative Writing Credits for all USG scripted pilot episodes.
    • Maintain flexibility and openness to take on additional projects as necessary or assigned.
    • Perform other related duties as required by management.
  • Qualifications

    Qualifications

    ** Basic Requirements:**

    • 2+ years of experience in an administrative role from any studio business and/or legal affairs division, entertainment law firm, talent agency, accounting firm or any of the unions.
    • Proficiency in Microsoft Word, Excel, Outlook, Adobe Pro.

    ** Desired Characteristics:**

    • Good understanding of legal terms and contracts interpretation.
    • Experience processing payroll documentation strongly preferred.
    • Familiarity with TV writer/director contracts as well as WGA/DGA or unions knowledge preferred but not required.
    • Knowledge and familiarity with applications such as Salesforce, DMS, ELF, Excel, Adobe Acrobat.
    • Detail oriented with excellent analytical and mathematical skills.
    • Strong oral and written communication, time management and organizational skills.
    • Professional demeanor.
    • Experience working in a fast-paced and demanding environment.
    • Quick learner, smart, resourceful, energetic.
    • Team player.
    • Must be trustworthy with the ability to handle loads of confidential information.

    ** Additional Requirements:**

    • Must be willing to work in Universal City, CA
    • Must have work authorization to work in the United States
    • Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week
