    PLEASE NOTE: THIS IS A PROJECT/LIMITED TERM POSITION WITH AN ESTIMATED DURATION OF UP TO 24 MONTHS, UNLESS OTHERWISE AMENDED OR TERMINATED AS DELIVERABLES WITHIN THIS PROJECT ARE COMPLETED.

    As an Olympic Digital/ Operations Coordinator, you will report into the Director of Operations and work in tandem with the Olympic Operations team as well as the Olympic Digital team on managing tasks pertaining to the Stamford Olympic effort, and pre-Olympic filming/profiles. 

    Tasks include but are not limited to: attending internal planning meetings, tracking follow up action items, extensive database management in regard to facilities, digital manpower, and all aspects of logistical and facilities planning in preparation and execution of The Paris Olympics 2024 and Milan-Cortina 2026.

    RESPONSIBILITIES:

    • Assist with communicating important travel and work location information to travelers and Stamford based Olympic Staff. In addition, prepare Games Time personnel with appropriate equipment, resources, credentials and supplies
    • Work with the Olympic Operations team as well as the Digital team in long term planning:  tracking and execution on all incoming and outbound documentation (production plans and facility requirements)
    • Assist and support the Digital team’s recruitment effort with support via internal database
    • Initiate and maintain relationships personnel, while serving as a main point of contact throughout the Olympic on-boarding process
    • Support Features Production Management team on Olympic and/or Sport features, documentaries, and sales projects
    • Reconcile administrative paperwork, correspondence, notes/final reports from all projects in various internal systems
    • Book logistics (schedule travel, hotel, rentals, crew/equipment needs), research and prepare estimates prior to each project and track costs throughout production
    • Request Certificate of Insurance and Property Insurance for various vendors, vendor credit card authorizations, visa applications and carnets for international shoots, secure mandatory traveler information
  • Qualifications

    Qualifications

    Basic Requirements:

    • Minimum of 2+ years' Production coordination experience in television, live or corporate events
    • Proven ability to assess priorities, adapt to face-paced environments and take direction from multiple people
    • Must have a high level of proficiency with Microsoft Office environment, smart sheet, desktop publishing and ability to master in-house database systems (strong administrative skills are key, CRM experience beneficial)
    • Willingness to work long hours, weekends, and overnight shifts (during Games Time) as needed

    Desired Characteristics:

    • Excellent organizational skills and a high level of attention to detail
    • Ability to effectively and quickly problem solve and handle demanding and time sensitive situations
    • Innate assertiveness as well as strong written and verbal communication skills
    • Ability to build relationships across diverse departments
    • College Degree preferred
