    Job Description

    The Client Services Coordinator works closely with brands (clients), post teams, and internal GMO departments to orchestrate the successful management and execution of services for requests on behalf of our programming and marketing clients daily.  This role will be the internal contact resource for our overall department, our clients and our extended post team.  In this role, the Client Services Coordinator will ensure that all requests are completed in a timely manner, and service costs and budget are communicated and maintained.  Support additional initiatives and projects as needed.

    Requirements:

    • Plan & schedule staffing (with managers) for editorial, audio, color correction, prep & screening requests
    • Entry of all assignments in ScheduALL application
    • Participate in client meetings to obtain details needed to execute requests
    • Work with client service management, to spec out financial impact and hours allocated for post services being requested
    • Create and maintain production calendars and timelines 
    • Reconcile daily work orders and maintain pacing documents 
    • Pull reports from scheduling application (ScheduALL) and Tableau to track project hours against budget (allocation or business case) 
    • Operational support for post-production management team 
    • Trouble-shoot all workflow issues in our OTTO application
    • Manage and track time off requests for all Post employees  
    • Understanding of various workflows in order to escalate issues effectively 
    • Assess processes on a routine basis to develop workflow improvements to promote continued productivity, increased reliability, and growth opportunities for our overall team
    • Create and maintain SOPs for new workflows and/or changes
    • Assist Client Services team members in supporting, tracking and reporting to clients
    • Service client base in multiple locations and time zones
  • Qualifications

    Qualifications

    • At least 3+ years of experience in post-production environment with at least 1 year in client service
    • Ability to establish priorities and manage multiple projects, budgets, and client requests independently to meet demanding deadlines
    • Perform effectively in a fast pace environment with frequent workload, resource, and timeline changes
    • Strong communication and client service skills required for interacting with co-workers, clients and varying levels of senior leadership.
    • Knowledge of all Microsoft Office applications and Excel
    • Extremely well organized
    • Ability to train others
    • Must be willing to work in Englewood Cliffs NJ
    • Willingness work overtime, and on weekends

    Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
