    Job Description

    Well established Institute in Newport Beach invites you to join our team as an Executive Administrative Assistant. This new, exciting full-time opportunity offers learning and growth within the company for a caring professional who would like to develop their skills and knowledge in healthcare administration_._ This person will report to the General Manager and Clinical Director. __

    Positive attitude, self-motivation, and a desire to learn is a requirement for this position.

    RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

    • Prepares invoices, reports, memos, letters, financial statements, and other documents.
    • Answers phone calls and directs calls to appropriate persons or takes messages.
    • Assists in conducting research, compiles data, and prepares papers for consideration and presentation by executives.
    • Attends meetings and records minutes.
    • Reads and analyzes incoming memos, submissions, and reports to determine their significance and then distributes to the appropriate individual.
    • Performs general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
    • Opens, sorts, and distributes incoming correspondence.
    • Prepares agendas and makes arrangements, such as reserving rooms, coordinating catering for luncheons and other meetings.
    • Manages and maintains executives' schedules.
    • Provides clerical support to other departments.
    • Provide strong customer service in handling customer's inquiries.
    • Assists with equipment troubleshooting and provides follow up communications to management and staff on equipment status

    QUALIFICATIONS

    EDUCATION AND EXPERIENCE:

    • Minimum education equivalent to Associate’s degree
    • Experience 3-5 years of related experience; or equivalent combination of education and experience.
    • Medical office experience a plus
    • Customer service experience a plus

    SKILLS AND ABILITIES:

    • Quick learner/ Self-starter/ Able to work independently and approach tasks with a positive attitude
    • Strong customer service skills
    • Strong computer skills
    • Typing 50 wpm or higher
    • Strong attention to detail
    • Must be able to work in a fast-paced environment with ability to prioritize, multi-task and think on your feet
    • Strong ability to identify, analyze, and solve problems
    • Must be punctual and reliable
    • eClinical and/or ACT Pro knowledge a plus
