    Job Description

    Newton Construction is seeking a Receptionist/Accounts Payable/Admin Assistant to join our team! You will perform clerical and administrative functions to drive company success.

    TYPICAL DUTIES:

    You will provide Administrative/Accounting Support at an intermediate level to a construction firm; generally work within established guidelines and procedures; typically produce draft and finished documents/reports/correspondence, handle routine clerical functions, prepare spreadsheets, calendars, etc.; organize and maintain file system; organize and prioritize work, etc. Generally, assignments include answering phones, basic accounting functions along with administrative duties.

    EMPLOYMENT STANDARDS:

    Knowledge of: Office and administrative practices and procedures including record keeping, filing, computer and other standard office equipment. Basic math, proper English usage and spelling. Ability to: Perform detailed office support work accurately, independently and against deadlines. Organize and maintain effective and cooperative working relationships. Prioritize work and handle a variety of and several activities simultaneously, compose correspondence, reports, minutes, forms, etc, from brief instructions. Use initiative within established guidelines. Education & Experience: High school graduation. Special Requirements: Possession of a valid California Class C Motor Vehicle Operator’s License; basic working knowledge of MS word and Excel and other computer programs, and willingness to be trained in all aspects of Construction Administration.

    The Employee shall provide clerical assistance to Newton Construction Management. Those services include, but shall not be limited to:

    ·

    · Provides administrative support by answering telephones, greeting clients, composing correspondence and project management reports.

    · Accounts Payable Vendors, Credit Card Reconciliation-Basic Accounting

    · Compiles and distributes various reports and coordinates copying, labeling, and mailing same.

    · Receives and distributes mail/correspondence.

    · Operates office machines including, duplicating machines, computer terminals, personal computers, and other equipment.

    · Knowledge of Microsoft Office, Adobe Acrobat, Internet Search Engines, Etc.

    · Filing

    · Responsible for break room maintenance. Ensure daily coffee is started, supplies are stocked, and break area remains neat and orderly.

    · Maintain inventory of office supplies.

     

    QUALIFICATIONS:

    · Previous experience in office administration, accounting, and/or other related fields

    · Ability to prioritize and multitask

    · Excellent written and verbal communication skills

    · Construction Experience a plus

    · Strong attention to detail

    · Ability to follow direction and work together as a team

    · ​Strong organizational skills

    · Experience with Microsoft Office

    · Drivers License required
