    Job Description

    We are looking for a diverse, flexible person who can jump into a long-term, outdated process and bring upon change and improvement.

    Our company serves MADSIF; Michigan Auto Dealers Self-Insured Fund (MADSIF.com). Our job is to manage our 250-members’ workers compensation insurance policies while ensuring their financial compliance as regulated by the State of Michigan. This position is working with and for the Fund Administrator, the Controller, the members and our Board of Trustees.

    BEING A SMALL COMPANY, THIS POSITION DOES A LITTLE BIT OF EVERYTHING:

    UNDERWRITING (NOT TYPICAL INSURANCE UNDERWRITING)

    All policyholders are dealerships with the same class codes and rating plans with few anomalies

    · Issue member renewals, policies, endorsements and certificates

    • Coordinate payroll audits, calculate premium adjustments and experience mods
    • Provide rate quotes for prospective new members
    • Work with outside vendors (excess broker, claims team/loss control team, financial institutions and web designer)
    • Understand and assist with dividend distributions for members

    ADMINISTRATIVE ASSISTANT/OFFICE MANAGEMENT

    · Respond promptly to phonecalls & emails (low volume and shared responsibility)

    · Schedule conference/video calls as needed (low volume)

    · Maintain customer database (using Sesame)

    · Manage group email lists and send group communications (low volume)

    · Open daily mail (low volume depending on time of year)

    · Take minutes at quarterly meetings (4 meetings)

    · Provide high level of professionalism to 13 dealership owners/Board of Trustees

    • Plan & execute quarterly board meetings (rooms/food/meeting space & packets for about 15)
    • Plan & execute annual 3-day conference (in Michigan, fun trip!); Schedules, meeting space, food and beverage, tech services, some tours)

    BASIC ACCOUNTING

    · Input Journal Entries & invoice payments using SAGE, to assist Controller (medium volume)

    · Reimbursements to Fund Administrator for out-of-pocket expenses (low volume)

    · Seek Board of Trustee approval on specific transactions

     

    REQUIRED SKILLS: SAGE software preferred (Quickbooks acceptable), Sesame database, ModMaster, Microsoft Office/Outlook (including Zoom or Teams), English-proficient, strong grammar, organization & communication skills.

    REQUIRED EXPERIENCE: 5 Years; Insurance Underwriting, Accounts Payable/Accounts Receivable, Admin/Office Management

    BONUS SKILLS: Experience with self-insured programs, website updates, creative flair, IT Knowledge

    Company Description

    We (owner/Fund Administrator and Controller) are looking for a third person to replace the current role of underwriter, entry level bookkeeping, office manager/admin. We are flexible and open while slowly improving and restructuring a 40-year program in order to benefit our large group client. Although we are somewhat operating as a start-up, the client we serve was founded in 1982 and is regulated by the State. It is stable and long-term.
