Position Summary:
We have an exciting opportunity to join our team as a Residency/Fellowship Program Coordinator.
The Fellowship Coordinator is responsible for coordinating all activities and providing comprehensive administrative support to departmental education programs and education leadership while in compliance with ACGME and non-ACGME institutional and program specific requirements. The Fellowship Program Coordinator serves as one of the primary contacts for the School of Medicines
educational offices on behalf of the department of Neurosurgery, ensuring coordinated, well-integrated programs. The Fellowship Program Coordinator assists with complex project preparation and presentations, organizing activities to support recruitment and retention; manages daily activities of the fellowship programs; and serves as liaison to other departments/divisions.
Job Responsibilities:
Program Support –
•Work closely with the Education Program Manager.
•Provides administrative support services to the Vice Chair of Education.
•Provides administrative support to Program Directors of the Neurosurgery fellowships to facilitate the
efficient operation of the Medical Education office.
•Ensures that all support functions for the Program Directors is completed on a daily basis.
•Plans and coordinates interrelated activities effectively and efficiently according to schedule.
•Handles confidential matters with appropriate discretion and urgency.
•Prepares and updates the academic calendar for the programs.
•Assists faculty in preparing letters of recommendation for current and past program participants.
Fellow Onboarding –
•Prepares credentialing for all fellows in the department.
•Coordinates the appointment process, maintaining a system for ensuring that new incoming fellows
have submitted all necessary documents for credentialing and payroll to the Housestaff offices at NYU
and Bellevue in time for their start dates.
•Prepares orientation packets for new trainees and assist the Program Directors to ensure that all
fellows are aware of the documentation requirements of the School, Hospitals, and ACGME.
Resident/Fellow Selection –
•Prepares and facilitates requirements of all fellowships approved and authorized by the Accreditation
for Continuing Graduate Medical Education (ACGME) and American Association, CAST Accredited, and
Non-Standard fellowships.
•Works with ERAS system (Electronic Residency Application System) or other systems in place for
processing applications.
•Screens fellowship applications, arrange and coordinate interviews with the interview committee.
Evaluation Process –
•Manages the faculty annual evaluation of the fellowship programs and their evaluation by the fellows.
•Reviews, updates and revises questions on forms used for faculty to evaluate fellows and the program
to remain in compliance with the ACGME guidelines.
•Plans and coordinates annual program evaluation committee meeting and take minutes to support the
ACGME annual program evaluation and self-study processes.
Maintenance of Data –
•Sets up and maintains documentation and complex records for the program.
•Maintains records in an organized and up-to-date manner; utilizes a filing system which allows for a
prompt retrieval of all information.
•Completes filing accurately and promptly.
•Maintains information for the Graduate Medical Education Office in accordance with policy.
•Uses appropriate systems to maintain this data where applicable.
•Learns and work with the New Innovations and ACGMEWebADS applications for collecting and
recording required residency data.
Collaboration –
•Makes requests to, and interacts with other departments within the NYU Grossman School of
Medicine, Bellevue and other related hospitals.
•Allows the other department sufficient time to reply; in turn, responds quickly in order to ensure
efficient coordination of activities.
•Prepares all materials in an appropriate and efficient manner through the efficient utilization of
computer, further develops computer skills.
Communication –
•Ensures effective communications with Housestaff Offices, staff members involved with resident
education, and residents/fellows.
•Screens, monitors and disseminates communication, including mail, phone, and other inquiries both
internally and externally.
•Maintains a supportive environment conducive to learning and growth.
Development
Attends monthly institutional residency/fellowship program meetings as directed to stay informed of
institutional requirements for assisting in the administration of fellowship training programs.
Minimum Qualifications:
To qualify you must have a Bachelor's degree plus 2-3 years of responsible office administration experience, or equivalent combination of education and experience; excellent communication, interpersonal, computer and organizational skills.
Preferred Qualifications:
Experience in residency or fellowship program coordination.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $62,400.00 - $69,451.20 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
