    Position Summary:

    We have an exciting opportunity to join our team as a Associate Director-Finance & Admin.

    Reporting to the Director of Finance and Research Administration, the Associate Director of Finance oversees day-to-day operations for the financial administration operation of the assigned departments within the Pod with the goal of growing the departments research portfolio and maintaining the highest level of customer satisfaction and research compliance.

    Job Responsibilities:

    1. Oversees team of Finance/Business Managers and Financial Analysts to manage sponsored projects post-award portfolio as well as the management of non-sponsored portfolio.
    2. In collaboration with the Sr. Grants Manager, reviews and verifies faculty and trainee effort for federal time and effort/payroll verification on a quarterly basis.
    3. Prepares monthly P&L for all departments supported by the PODs and ensures timely submission and upload to SharePoint.
    4. Reviews and approves all financial reporting packages due to Research Finance Operations.
    5. Reviews and approves monthly invoices associated with cores managed by the Departments supported.
    6. Prepares monthly summary of PI portfolio summary update for departmental leadership report.
    7. Maintains database of all outbound subcontracts to ensure they are billing at least quarterly and that these expenses are being journalized on the appropriate chartstrings and purchase orders.
    8. Prepares quarterly financial update presentations for faculty meetings.

    9. Acts as Portfolio Manager for the portfolios belonging to the Chairs of the Departments supported.
    10. Works closely with Associate Financial Analyst to maintain a database of activity associated with all PeopleSoft Financials transactions to see if there are areas of improvement and efficiency that can be addressed such as evaluating PCard activity to see if regular vendors used can be onboarded via PaymentWorks.
    11. Maintains database of capital equipment purchases on non-sponsored projects to ensure that the expenses are allocated to the appropriate chartstring after journalizing onto the Fund 55.
    12. Works closely with Department Directors and PIs to assess future directions and immediate concerns.

    13. Develop and maintain training materials for finance team across all academic departments and institutes
    14. Identify gaps in departmental and institutional services and systems that can be improved to provide more efficient and standard support throughout the institution
    15. Create standard templates, operating processes and forms to achieve maximum efficiency across the grant life cycle and implement across all departments/institutes
    16.Facilitate relationships with finance team to build teamwork, cross training and expand exposure and training for team members

    17. Fosters strong collaborative relationships throughout the institution, especially with central offices in Research Administration, including but not limited to SPA, RDI, CRSU, TOV and RFO.
    18. Works with institutional peers to improve collaboration and operational efficiency.

    Minimum Qualifications:

    To qualify you must have a Masters Degree in Health Care, Public Health or Business Administration.
    Minimum of three years of management level responsibility in business administration for a health care organization or other similar industry is required. Thorough knowledge of pre- and post-award grants administration; Deep understanding of federal, state and local policies governing sponsored research; Demonstrated ability to manage complex projects, often with matrix management responsibilities. Proficiency in managing complex, multisource budgets; familiarity with grants and government contracts. Excellent interpersonal and written/oral communications skills required along with tact and diplomacy.

    NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $92,066.00 - $138,320.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
