    Position Summary:
    We have an exciting opportunity to join our team as a Program Coordinator - Compliance.

    In this role, the successful candidate is responsible for facilitating the administrative processes of department activities (e.g., on-boarding process, maintaining/reviewing departmental records, answering main telephone line and referring calls appropriately, scheduling meetings, creating presentations, running reports for the VP and Directors in the department. The Coordinator manages annual projects such as: reviewing and updating certifications and memberships for the departmentand maintenance and updates of various databases and shared drives for completeness in accordance with institutional policy.

    Job Responsibilities:

    * Maintains a pro-active and problem solving approach to assignment requests.
    * Prioritizes assignments with efficiency; completes tasks in timely manner; maintains general knowledge of Directors’ respective oversight areas and responsibilities.
    * Coordinates activities and special projects for the VP and Directors within the department by assigned deadlines. Plans and coordinates interrelated activities effectively according to schedule. Makes request to other areas, allowing them sufficient time to reply; responds quickly in order to ensure efficient coordination of activities. Conveys correct information to involved parties. Schedules appointments, large meetings and special events for VP, Directors and the Audit & Compliance Committee. Confirms attendance and facilitates Program Operations.
    * Supports Department initiatives, including HIPAA & General Compliance Training assisting with patient and workforce member questions, tracking of completeness (including running reports), and follow-up on outstanding matters via direct outreach. Assist with training and education events across all campuses.
    * Manage databases in a variety of formats for use by the IACERM office. Design, conduct, organize and manage regular assessments of the collected data. Develop and maintain standard reports that will assist in the analysis of data. Edits, prepares and retrieves information for reports to ensure it meets predetermined criteria.
    * Prepares communications and reports and maintains statistical records that may be highly sensitive and confidential in nature. Composes related and required information in a clear and well-written manner. Creates and generates miscellaneous reports as requested by department leadership to ensure VP is kept apprised of problems, discrepancies and delays. 
    * Assists with development and distributing materials for the Audit & Compliance Committee. Formats presentations, manages Board Books, including uploading all materials to Board Books and assisting Trustees with access to materials.
    * Maintains and updates information regarding department devices (e.g., electronic device inventory log), vendors, chart string/budget information, account numbers, annual spend, and classifications.
    * Assists with assembling educational and meeting materials (including binders and electronic presentations, and posting to systems as appropriate (e.g., Selectica, and iManage).
    * Performs other duties as assigned.
    * Coordinates and oversees the day-to-day management and activities of the Internal Audit, Compliance and ERM (IACERM) office. Receives deliveries, answers main compliance phone, distributes mail, orders supplies and equipment, processes purchase orders and requisitions, responds to IT issues, serves as primary contact for Facilities issues and initiates repair of electronic equipment on a timely basis. Maintains a phone log of daily calls received to the main compliance phone line. 
    * Serves as department timekeeper and manages department calendars (i.e. IACERM vacation calendar and Onsite Calendar).
    * Provide support as necessary to the management of Sponsored Individuals such as monitoring shared mailboxes.
    * Maintains positive and professional relationships with other personnel throughout NYU Langone Health to facilitate cooperation in carrying out responsibilities.
    * Maintains and prioritizes appointment calendar for the VP and assists with management of scheduling internal and external meetings for the VP and Directors in the department (e.g., reserves conference rooms, maintains record of attendee responses, and prepares documents for meetings as required).
    * Assist Compliance and Privacy team with certain projects on an as needed basis, including but not limited to assisting with lost device reports and monitoring the data loss prevention software, including email and network activity, and assist with follow up on any issues that are identified.
    

    Minimum Qualifications:
    To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field. Two years of experience coordinating Project/Programs or programs or an equivalent combination of education and experience. Proficiency in using various Microsoft Office applications such as World, Excel, Access, Power Point and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

    Preferred Qualifications:
    Preferred Qualifications:Database reporting experience such as ACCESS and Business Objects. ProjectManagement certification.

    NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $62,400.00 - $98,218.33 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
