    POSITION SUMMARY:

    We have an exciting opportunity to join our team as an Administrative Assistant. Under the direction of the Associate Dean for Student Affairs, the Administrative Assistant is responsible for a wide range of administrative activities that support the Associate Dean for Student Affairs. In addition, the Administrative Assistant will perform administrative duties as needed for the Academic Events team that require knowledge of organizational policies and practices related to events. Exercises independent judgment in the resolution of administrative concerns and issues.

     

    JOB RESPONSIBILITIES:

     

    • Provides administrative support to the Associate Dean of Student Affairs.  This includes:
      • Scheduling meetings on behalf of the Associate Dean with Faculty, Deans and students.
      • Making room reservations for meetings and events.
      • Keeping the Associate Dean’s calendar (flagging important meetings and events).
      • Ensuring that all email correspondence from the Associate Dean’s Office goes out in a timely manner, and that critical emails are responded to.
      • Assisting the Associate Dean with the preparation and delivery of presentations.
      • Making all conference travel arrangements on behalf of the Associate Dean.
      • Reconciling all related business expenses.
    • Assists with the planning and implementation of a variety of academic events including: Orientation, White Coat Ceremony Alpha Omega Alpha Installation, Deans Honors Day, Grad Awards, and the Commencement ceremony, Senior Reception and Dinner Dance.
    • Assists with production, editing and mailing of all academic events materials.
    • Provides back-up support for the Academic Events and Student Affairs telephone line and responds to inquiries from faculty, students, and donors and routes calls as appropriate.
    • Performs other duties as assigned.

     

    MINIMUM QUALIFICATIONS:

    To qualify you must have an Associate's degree in a related field. Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience. Proficient in the use of Microsoft Office Word, Excel, and Access. Ability to develop moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems. Ability to access e-mail, electronic calendars, and other basic office support software. Effective oral, written, communication, interpersonal and customer service skills. Ability to proofread documents and write clear, concise first draft. Ability to type at a speed of at least 50 net words per minute. Ability to multi-task while paying attention to detail. Ability to exercise administrative judgment and assumes responsibility for decisions, consequences, and results.

     

    PREFERRED QUALIFICATIONS:

    Planning and assisting with large academic events. Attention to detail. Ability to multi-task. Provide excellent administrative support to the Associate Dean.
