    POSITION SUMMARY:

    We have an exciting opportunity to join our team as a Program Manager-Education.

    Manages coordinators of educational programs in the Ob/Gyn Department Educational programs and directly manages the Ob/Gyn Residency Program. Provides support and oversight to administrative leadership and faculty in the Ob/Gyn education division. Functions as the department leader for education program administration and management across Ob/Gyn educational programs including the medical school clerkship, residency program, fellowships and simulation.

     

    JOB RESPONSIBILITIES:

     

    • Residency Program Support - provide administrative support services to the residency program for daily functioning effectively and efficiently according to schedule. Handles confidential matters with appropriate discretion and urgency. Act as a resource to departmental leadership and faculty for any residency program administration needs. o Ensure compliance with ACGME Residency and Program Requirements. Oversee all reporting to the Graduate Medical Education office and the ACGME. Ensure accurate and up to date faculty and resident scholarly activity for ACGME reports. o Resident Selection Work with ERAS system (Electronic Residency Application System) for processing applications. Screen residency applications, arrange and coordinate interviews with the residency interview committee. o Resident Onboarding - Ensure timely credentialing for all Residents and Fellows in the department. Oversee the appointment process, maintaining a system for ensuring that new incoming residents have submitted all necessary documents for credentialing and payroll to the Housestaff offices at NYU and Bellevue in time for their start dates. Prepare, review and suggest improvements to orientation packets for new residents and assist the Program Director to ensure that all residents are aware of the documentation requirements of the School, Hospitals, and ACGME. o Evaluation Process - Manage the annual evaluation of the residency program by the residents, fellows, and faculty. Review, update and revise questions on evaluation forms used for faculty to evaluate residents and the residency program to remain in compliance with the ACGME guidelines. o Facilitate petty cash reimbursements, prepares and processes purchase requisitions, check requests, IOIs and related invoices to all areas of the Ob/Gyn medical education programs. Prepares and updates the academic calendar for the program.
    • Education Division Leadership: Supervise Ob/Gyn residency, fellowship, and clerkship staff with responsibility for Ob/Gyn education-related activities, with the authority to hire, discipline and terminate. Delegate assignments efficiently and monitors staff through completion of projects, defining expected outcomes and time parameters. Evaluate performance of these Ob/Gyn staff, approaching the performance review process constructively and conducting it in accordance with Human Resources and departmental guidelines and procedures. Offer continuing guidance and assistance to employees on work activities, procedures and performance-related issues as appropriate. Ensures Ob/Gyn Department leadership is kept aware of performance of each employee on an ongoing basis. Addresses any performance related issues promptly. o Budgets and Financial Tracking - Allocates education mission budget among residency, fellowship, and clerkship programs. Selects and negotiates with vendors providing educational services. Monitors and coordinates expenses for house staff with GME office o Clerkship Oversee the clerkship coordinator and their oversight of all clerkship activities, including student assignment to rotations, orientation, evaluations, and special issues as they arise. o Fellowship Oversee fellowship coordinators and their oversight of all aspects of fellowship programs. Oversee Program implementation and ensure compliance with ACGME requirements including milestones and clinical competency committee meetings. Must be familiar with ACGME Fellowship Program Requirements. o Simulation Oversee the simulation coordinator and their oversight of in-situ simulation, team training, skills training and simulation-based assessments.
    • Communication - Ensure effective communications with Education program directors, House Staff Offices, staff members involved with resident, fellowship, and simulation education. Screens, monitors and disseminates communication, including mail, phone, and other inquiries both internally and externally. Develops and oversees phone and pager systems to ensure efficient and timely management of communications among the house staff and attendings. Make recommendations on process improvements as appropriate, to encourage an efficient, supportive environment conducive to learning and growth.
    • Collaboration - Make requests to, and interact with other departments within the NYU School of Medicine, Bellevue and other related hospitals. Allow the other department sufficient time to reply; in turn, responds quickly in order to ensure efficient coordination of activities. Prepare all materials in an appropriate and efficient manner through the efficient utilization of computer, further develops computer skills. Is viewed as a subject matter expert for the departmental residency program administration. Works in conjunction with Department Administrator and other administrative leaders in the Department.
    • Maintenance of Data - Set up and maintains documentation and complex records for the program. Maintain records in an organized and up-to-date manner. Maintain information for the Medical Education Office in accordance with policy. Work with the New Innovations application for collecting and recording required residency data. Completes credentialing requests and provide information based on training records for credentialing of prior NYU Ob/Gyn residents and fellows. Ensure accurate and up to date education faculty rosters.
    • Act as a liaison to the House Staff central office and act as a program lead and advocate for the department. Attend monthly institutional residency program meetings to stay informed of institutional requirements for assisting in the administration of residency training programs. Identifying institutional program-wide improvement opportunities to support a streamlined and well-integrated program.
    • Make suggestions for improvement of the administrative aspects of the program within the department, and implement those improvements where possible.

     

    MINIMUM QUALIFICATIONS:

    To qualify you must have a Bachelors degree in business administration, health care administration or related field. Minimum of five years of progressively responsible related experience including program/project coordination or equivalent combination of education and experience.

     

    PREFERRED QUALIFICATIONS:

    Two years experience in residency program coordination and management. Additional experience in other house staff, clerkship and simulation program coordination highly desirable.
