    POSITION SUMMARY: We have an exciting opportunity to join our team as a Credentialing Assistant. In this role, the successful candidate Responsible for performing administrative support activities for physician credentialing. Under general supervision, assists the Credentials Specialists and/or Credentials Associates in processing new applications and reappointments for physicians and allied health providers. This includes assisting with the process for verification of licensure, education/training, board certification, current competency, disciplinary actions, sanctions, and malpractice insurance clearance. Also performs data entry, scanning, faxing, sorting mail and filing.

    JOB RESPONSIBILITIES:

    • Demonstrates knowledge of the organizations Service Standards and incorporates them into the performance of duties.
    • Enters provider information/data in the CACTUS database as instructed by the Credentials Specialist/Associate in an accurate and timely manner and in accordance with established procedures/guidelines. This includes creating a new provider record, and entering and updating required information in the database.
    • Completes required queries as instructed by the Credentials Specialist/Associate in an accurate and timely manner and in accordance with established procedures/guidelines. This includes primary source verification of licensure, education/training, board certification and eligibility, etc
    • Generates, scans, faxes, etc. hospital affiliations/training verifications, peer reference questionnaires and other documents as instructed by the Credentials Specialist/Associate and in accordance with established procedures/guidelines.
    • Enters delineation of privileges information into the Cactus database as instructed by the Credentials Specialist/Associate, conforming to defined data field uses.
    • Prepares files for review and signature (generating and printing the review form and flagging the privileges).
    • Generates the Roster for their assigned Departments due for FPPE/OPPE/Provisional Reviews and sends notification to the appropriate department contact.
    • Tracks the progress of FPPE/OPPE/Provisional Reviews and completes follow-ups in a timely manner.
    • Checks the completed reviews, identifies and notifies management of any adverse information that requires follow up.
    • Updates Provisional Recommendations on the appropriate Credentials Committee listing and updates recommendations in CACTUS in the appropriate fields.
    • Processes Find a Doc inquiries as assigned.
    • Assists with file audits, organizing and maintaining provider files in accordance with established principles of legal documentation and confidentiality.
    • Answers telephone, screens calls, takes messages and provides information according to established department policies. Retrieves/sends faxes. Communicates effectively with staff and visitors, etc.
    • Makes copies and prepares packets/documents as needed to support department and medical staff committee meetings.
    • Copies/scans credential files as instructed for OPMC, DOH, etc.
    • Verifies faculty terminations and refers to appropriate Credentials Specialist/Associate for follow up, as needed.
    • Retrieves reports on expiring licenses, certifications, health reassessments, etc. on a scheduled basis, adhering to established deadlines.
    • Obtains and confirms primary source verification of licenses and required certifications from applicable on line databases and other sources, prior to expiration date. Enters all updated information into the CACTUS database accurately and timely. Files all documentation associated with primary source verification of licenses and required certifications in accordance with department policies.
    • Escalates delinquent licenses and certifications to Medical Staff Services Director for follow up in accordance with department policies.
    • Enters health assessments and other data into Cactus database as instructed.
    • Handles incoming and outgoing mail, opens, sorts and prioritizes.
    • Answers all routine inquiries including hospital verification inquiries utilizing Cactus database. Escalates inquiries concerning previously disciplined providers to Medical Staff Services Director for follow up.
    • Processes Epic in Basket requests in a timely manner.
    • Employ public relations skills in a wide variety of phone contacts with external sources for purposes of soliciting information essential to credentialing process, including licensing agencies; university and hospital training program personnel; certification boards; insurance department; hospital officials and credentials staff; physicians and their office staff.
    • Responds independently to calls and inquiries from staff and visitors and determines urgency of situation. Decides emergency need to interrupt and/or contact Medical Staff Services Director.
    • Performs other clerical duties and assists staff with special projects as assigned.

    MINIMUM QUALIFICATIONS: To qualify you must have a High school graduate. Relevant experience with computer skills and proficiency in Microsoft Office programs required

    PREFERRED QUALIFICATIONS: Medical staff office experience preferred. Excellent verbal and written communication skills, including knowledge of credentialing. Excellent computer skills, scanning, including word processing and data base maintenance (Cactus Software preferred). Energetic and self- motivated with the ability to complete projects independently within established timeframes. Ability to handle multiple projects and deadlines. Ability to cope with interruptions, varying personalities, rush projects, and demanding medical staff. Able to prioritize responsibilities. Independent judgment and interpersonal relationship skills in working with the staff, Medical Staff leaders and other Departments in the NYU Hospitals Center.
