    Position Summary:

    We have an exciting opportunity to join our team as a Senior Project Coordinator.

    Responsible for providing a range of project coordination and operational support for Human Research Protections (HRP), including the Institutional Review Board (IRB), Embryonic Stem Cell Oversight Committee (ESCRO) and Research on Decedents (RDOC), External Review unit (ER), Quality Improvement and Assurance (QIA), and all education, training, communication and web site updates or all units. Reports to Senior Director, HRP; and provides support as needed to Director, Research Regulatory Services. Supports Network Integration and its initiatives across NYU Langone Health System by managing projects related to the development and implementation of new and ongoing programs. Responsible for assisting with refining project scope, initiating project, planning for budget and resource needs, implementing and supporting project through completion. Demonstrates knowledge of the organizations Core Values and incorporates them into the performance of duties.

    Job Responsibilities:

    Project coordination

    * Provides coordination for project activities to the Senior Director of HRP that includes but not limited to: coordination of Projects, working/communicating with internal and external parties to organize and coordinate various components needed to initiate, run and conclude all HRP activities.
    * Develops project schedules, prepares, process, and tracks Projects related to all aspects of the HRP including; IRB, ESCRO, ER, QIA, and RDOC systems, work with HRP collaborators, AAHRPP requirements, special projects and support all projects related to sIRB and External IRB units.
    * Gathers and collects data from different parties and presents findings as applicable.
    * Researches problems, issues and concerns and responds to requests for information.
    * Assists in developing materials and presentations for training and educational sessions, HRP departmental seminars and other activities.
    * Works with Manager, Education on change management plans and prepares communications of new announcements.
    

    Operational Support

    * Prepares agenda and maintains minutes for staff meetings.
    * Supports, plans and prepares presentations, and composes a variety of memos, letters, guidance documents, templates and other materials as needed for all HRP areas.
    * Reviews, edits, obtains appropriate approvals of any new materials and presentations.
    * Plans, drafts, and coordinates all communications from the HRP to the wider Research Community, including moderation of dedicated WebEx Space channels.
    * Assists in policy and procedures copy editing and organization.
    * Maintains updates of new material for website and coordinates upload of all materials to site.
    * Coordinates library and document management within HRP.
    * Responds to routine correspondence and refers non-routine items to the appropriate parties.
    * Assists hiring manager in onboarding new staff. Reviews workflow and recommends improvement if applicable to ensure appropriate cycle times and efficiency.
    * Assists in developing materials and presentations for training and educational sessions, departmental seminars and other activities.
    * Hardware inventory management for all of HRP including ordering equipment, assisting team, telecoms and email lists
    * PlanOn Administrator
    * Maintains organization of non-study related documents on an internal server.
    * Acts as the main administrator for certain HRP-related applications, such as Protocol builder, and assists users with any issues they may have.
    * Assists with creation and revision of smart forms and checklists in REDCap.
    

    sIRB Support

    • Tracks and submits for payment sIRB revenue billing
    • Follows up and coordinates resolution issues related to billing.
    • Works with sIRB Operations and research teams in preparation of sIRB or external related IRB budgets for submission to federal government.

    **Scheduling & Coordinating **

    * Organizes and coordinates schedules, activities and special events for HRP Senior Director.
    * Coordinates other preparation activities (checking and coordinating the logistics and technical support, making food and beverage arrangements, etc.) and other related activities.
    * May assist in special events planning for OSR
    

    Financial management

    * Prepares, processes and tracks program related purchase/supplies requisitions, reimbursements, expense reports, and related invoice payments.
    * Processes billing reports for the HRP related to IRB fees for industry-sponsored research and fees for studies utilizing the IRB as a single IRB for federally-funded research.
    * Processes annual payments to all institutional review board members through payroll requests and non-affiliated members through purchase orders.
    

    Reports

    * Independently prepares and reviews documents, and generates status/progress reports for ongoing and pending Projects which may include moderate analysis of workflow, milestones and findings for all of the HRP areas.
    * Maintains departmental records for individuals and committee members, including CVs, publications, goal tracking for all committees in the HRP
    * Gathers and collects data from different parties and presents findings as applicable.
    * Resolves problems, issues and concerns and responds to the research communities requests for information.
    

    Special Projects and Other Support

    * Participates in special Programs or Projects and performs other duties as required. 
    * Provides calendar and administrative support as needed to the Director of Research Regulatory Services.
    * Participates in special projects and performs other duties as required. 
    

    Minimum Qualifications:

    To qualify you must have a

    • Bachelor degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience.
    • Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications.
    • Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently.
    • Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

    Preferred Qualifications:

    Project/Program management experience preferred.

    Qualified candidates must be able to effectively communicate with all levels of the organization.

    NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $63,935.04 - $82,482.40 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
