    Job Description

    The Assistant Personnel Manager plays an integral role in all orchestra activities for the Nashville Symphony. Applicants must have direct experience with orchestra operations, including running orchestra services (rehearsals and performances), familiarity with collective bargaining agreements, and an understanding of orchestra musicians' unique needs and requirements. 

    PRIMARY DUTIES AND RESPONSIBILITIES:

     

    • Adhere to all rules set forth in the Collective Bargaining Agreement.
    • Attend and serve as timekeeper for all services as assigned.
    • Serve as the primary coordinator of the Orchestra schedule, which includes assisting the VP of Operations in planning orchestra schedules for future seasons and managing weekly contract deadline-driven calendar updates via the musician’s website and updating/revising ArtsVision as changes are made to the orchestra schedule.
    • Provide operational and administrative support to the Orchestra Personnel Manager.
    • Act as a liaison between management and orchestra personnel.
    • Field complaints, problems and requests from orchestra musicians.
    • Coordinate NSO auditions; answer related correspondence, create audition mailings, music preparation with the library, maintain candidate database, schedule of candidates, and assist in the running of auditions.
    • Communicate with Principal musicians to confirm section assignments.
    • Assist in issuing contracts to all substitute and extra musicians.
    • Assist in managing personal leave requests.
    • Manage requests for external work opportunities for musicians (extra gigs and private lessons).
    • Coordinate orders for coach buses orchestra travel.
    • Manage, organize and maintain department files.
    • Attend weekly departmental meetings with Orchestra Operations
    • Attend Orchestra Committee meetings and take meeting minutes.
    • Oversee parking arrangements for all musicians.
    • Assist the Orchestra Personnel Manager with new musician orientation, including assigning mailboxes and lockers.
    • Facilitate annual push for musicians to obtain or renew their Recording Academy membership.
    • Order departmental supplies as needed.
  • Qualifications

    Qualifications

    Education:

    • Bachelor’s degree in music, music business, or arts administration preferred.

      

    Experience:

    • Must have 1-2 years of professional Orchestra Personnel experience in a professional business environment and demonstrated excellent verbal and written skills.
    • Orchestra performance experience strongly preferred.

    Knowledge, Skills, and Abilities:

    • Effective and efficient written and oral communications skills.
    • Stellar organizational skills with attention to detail and ability to schedule priorities to maximize efficiency and institutional goals.
    • Ability to multi-task and work under pressure in a fast-paced environment.
    • Knowledge of symphony orchestra management and production.
    • Ability to work as a team member with a positive, helpful attitude in developing creative response and solutions to needs and issues.
    • Ability to work independently and use independent judgment while keeping supervisor informed of work activity and issues.
    • Ability to read, analyze, and interpret complex documents.
    • Familiarity with Microsoft Office, Outlook, online forms, and ArtsVision or comparable database. 
    • Ability to maintain the strictest of confidence as needed.  Ability to balance a sense of urgency and manage priorities without displaying panic are essential.  You are the calm of the storm in a hectic environment.
