Manager of Artistic Administration (2 Positions Available)
Job Description
With over 140 performances annually, the Nashville Symphony’s concert schedule encompasses a diverse mix of classical, pops, film, and family programs with orchestra, jazz and non-orchestra presentation concerts, along with extensive community outreach efforts. The Manager of Artistic Administration is responsible for contract fulfillment and guest artist care across the variety of performances at Schermerhorn Symphony Center. They also will work with staff conductors and musicians of the orchestra to ensure the highest caliber experience for all artist personnel.
ARTIST MANAGER & GUEST ARTIST DUTIES
1. Serve as Artist Manager for rehearsals and concerts as assigned
2. Coordinate all guest artist arrangements including contracts, hotel, travel, catering and hospitality, and fully execute terms of artist rider in this regard as assigned
3. Prepare, issue, process, and log status of guest artist contracts
4. Create and advance written itineraries for guest artists to guest artists, their management, and all Artistic Administration staff
5. Personally greet all arriving guest artists and conductors, attend all rehearsals and concerts where guest artists, guest conductors and/or staff conductors are present and other services as needed
6. Review artist contracts and tech riders for cost containment and feasibility and make recommendations for negotiation of same; ensure compliance with mutually agreed upon contracts for guest artists/conductors
7. Survey guest conductors and artists for necessary artistic information. Obtain rehearsal orders from conductors and distribute to appropriate parties.
8. Coordinate Visa applications for all non-U.S. citizen performers
9. Coordinate the payment of all fees related to guest artists, orchestra soloists and other non-payroll performers related to performances
10. Coordinate complimentary tickets for guest performers with Box Office
11. Gather and maintain support information for guest artists, such as local medical resources and hotel/travel accommodations; compile database of background information for all guest artists.
ADMINISTRATIVE DUTIES
1. Enter information relating to artistic administration into database management system (ArtsVision)
2. Assist with creation and management of artistic budget, periodically update and forecast as needed; maintain an up-to-date financial record of expenses
3. Process invoices appropriate to assigned performances for the department and track budgets
4. Work closely with production staff to ensure that programming information is translated into clear operational requirements, including but not limited to, rehearsal schedule, piano tunings, practice time bookings, stage sets and dressing rooms
5. Assist with artistic planning and artist contract negotiations as assigned
6. Coordinate, manage, and/or assist with special projects as assigned
ASSISTANT TO THE MUSIC DIRECTOR & CHORUS MANAGER DUTIES
The Manager of Artistic Administration will also have the opportunity to participate in one or both of these duties.
1. Provide general administrative support to the Music Director including coordinating meeting schedules, managing correspondence, and other duties as needed.
2. Serve as Chorus Manager for the Nashville Symphony Chorus.
a. Work with the Chorus Director, Chorus Board and VP of Artistic Administration to implement artistically fulfilling concerts that are consistent with the Nashville Symphony’s artistic vision;
b. Manage the Symphony Chorus’ logistical coordination, including but not limited to auditions, personnel management, rehearsal arrangements, and attendance.
c. Manage and maintain chorus budget, oversee chorus checking account, implement.
d. Plan annual chorus retreat and chorus recognition initiatives throughout the season.
Qualifications
1. Education
Essential: Bachelor’s Degree in Music, Arts Administration, or related field
2. Experience
At least 2 years’ experience working in the entertainment and/or non-profit sector;
Experience working for an orchestra preferred
3. Knowledge, Skills and Abilities
Working knowledge of orchestra operations
Knowledge of and interest in orchestral music
Stellar organizational skills with attention to detail and ability to schedule priorities to maximize efficiency and institutional goals
Ability to work with a broad spectrum of personalities and to exhibit patience and understanding
Ability to work as a team member with a positive, helpful attitude in developing creative responses and solutions to needs and issues
Ability to work independently and use independent judgment while keeping supervisor informed of work activity and issues
Ability to maintain the strictest of confidence
Ability to work nights, weekends, and extended work days, with appropriate relief provided in work scheduling
