Description: Primary responsibility is to ensure all payables are accurately entered, paid timely and appropriately coded. Other duties include data tracking for grants, sales tax, insurance incidents, certificate of insurance, and managing the 1099 process.
Duties and Responsibilities:
Payables:
Review all invoices/supporting documentation for invoices/check requests
Key all invoices in an accurate and timely manner
Prepare wires/checks as directed by CFO and ensure vendors are paid timely
Track expenditures as required by CFO for various projects (grants, sales tax, etc.)
Manage the corporate credit card program and ensure charges are documented, reasonable, etc.
Review employee expense reports, key into system, provide documentation to payroll in timely manner for processing
Balance subledger to G/L each month and balance due to/from fund accounts
Manage the 1099 reporting process including keeping W-9s up to date, processing 1099s in an accurate and timely manner
Serve as petty cash custodian
Other Accounting/Insurance Duties
Prepare journal entries as necessary for wires, direct debits from bank accounts
Serve as backup for other department staff as necessary
Prepare balance sheet reconciliations as assigned
Comply with federal/state regulations and company policies/procedures
Properly accumulate, review, track and distribute insurance incident report information
Other accounting duties as required
Skills:
Proficient with accurate data entry
Experience w/Generally Accepted Accounting Principles including rules for capitalization
Expertise in 1099 regulations/processing
Knowledge of Microsoft Office software with intermediate Excel skills
Ability to multi-task, meet deadlines and review own work with attention to detail
Education:
Associate’s or Bachelor’s degree in related field preferred
