  • Responsibilities

    The Events Office Assistant acts as an information resource and birthday booking agent for the Events Department, as well as, the reservationist for the Zoo-wide calendar ensuring that internal and external needs are met.

    Basic Function and Responsibilities:

    • Books, confirms, and relays needs of birthday parties and programs• Serves as Lead Event Ambassador including training and staffing of additional Ambassadors. Ambassadors serve as host for avariety of events including birthday parties and private rentals.• Inputs, maintains, and communicates the needs of the Zoo reservation calendar• Maintains and communicates monthly departmental calendars, task lists, and meeting agendas• Inventories and organizes “in office” event materials including AV supplies, birthday party program materials, and event materials• Data input and processing of financial, ticketing, and contract paperwork• General office oversight including copying, filing, office supply orders, processing financial transactions, funneling inquiries fromZoo staff/public to appropriate Event Staff, edit/aid in form creation, letter submissions.• Provides event assistance including brainstorming, research, and development, program description, content and day ofassistance.• Other duties as assigned.

    Work Requirements and Qualifications:

    1. Education

    a) High School graduate.b) Bachelor degree desired.c) 1 years of customer service or event experience. Internships accepted as experience.

    1. Knowledge, Skills, and Characteristics

    a) Ability to work without direct supervision.b) Must be energetic, result and detail oriented, with strong organizational skillsc) Excellent interpersonal skills with clients, guests and staffd) Must represent the Zoo in positive manner at all timese) Able to take full initiative in starting and completing tasksf) Must be proficient in Excel and Wordg) Accurate and efficient, time management skills.h) Able and willing to work a non-standard work week, including nights and weekends and a flexible schedule.i) Excellent written and oral communication skills.j) Must possess a valid driver’s license.

    1. Physical Requirements

    a) Ability to work outside in a variety of conditions, as needed.b) Ability to climb stairs and ladders.c) Ability to lift materials up to 50 pounds.d) Ability to bend and kneel.e) Ability to stand for up to 10 hours per dayf) Ability to operate a golf cart or an rtv vehicle
