    • Washington, DC 20001 Part-time NPCA POSITION DESCRIPTION Date: June 2018 Position Title: Volunteer Coordinator Grade: 1 Job Status: Part Time FLSA: Non-Exempt Department: Executive Location: Washington, DC Immediate Supervisor: Senior Director of Board Relations Managers Supervisor: President& CEO Incumbent / New Position: Incumbent Primary Purpose of the Position: To support the management of NPCAs Board of Trustees and National Council, and Executive Office interaction with Regional Councils, as well as provide administrative support to Executive team as needed. Essential Functions: % of Time Support preparation and follow up for three Board of Trustees meetings annually which may include working with vendors on lodging, catering and logistics, possible coordination with National Park Service staff and partners, preparation of meeting materials, tracking responses, helping at events and meetings as needed and processing payments and reimbursements. Duties may include advance site visits. 35% Support management of NPCA board committees including scheduling, preparation and distribution of meeting materials, taking minutes and distributing summaries and other follow up. 25% Provide support with coordination of annual volunteer trip for approximately 30-40 people to include helping determine trip locations and dates, advanced logistical planning to include site visits as needed; working with NPCA regional staff, concessionaires, vendors and National Park Service staff to coordinate lodging, catering and trip activities; tracking responses, preparing trip packets, managing trip acknowledgements and reconciliation of trip-related expenses. Duties may include on-site support. 20% Assist with calendar management of National and Regional Councils quarterly briefing calls; finalize and distribute call schedules and materials; work with appropriate staff to determine agenda items and materials; respond to follow up from calls as needed including call minutes; distribute periodic advocacy requests and other updates to National Council and Regional Councils as appropriate. 15% Provide administrative support as needed to Executive Office team including Senior Director of Board Relations, President and CEO, Executive Vice President and Executive Assistant. 5% Total 100% Other: Respect employees regardless of their position or background. Participates in developing department goals, objectives, and systems. Participates in administrative staff meetings, organization-wide meetings, staff committee meetings, training programs, and attends other meetings and seminars as designated by the supervisor. Assists in evaluation of reports, decisions, and results of department in relation to established goals. Position involves periodic evening and weekend hours as needed. Minimum Scope of Position: Interacts with NPCAs Board of Trustees, National, Regional and Next Generation Advisory Council members, donors, President and CEO, Executive Vice President and other members of senior management, and outside vendors. Minimum Qualifications, Competencies, Skills, Education, and Traits: Bachelors degree or equivalent combination of education and experience. Ideal candidate should have: Minimum of one year experience working with volunteers and donors. Demonstrated experience with meeting and event planning. Experience with travel logistics a plus. Ability to work confidently and appropriately with high-level individuals and senior management. Possess strong attention to detail, and strong administrative, writing and communication skills. Demonstrated ability to manage multiple projects and deadlines at one time. Possess tactfulness, good judgment, and commitment to teamwork; has flexibility and positive attitude. Comfort with technology (organization uses an online platform to support the work of the board). Candidate should be knowledgeable of Microsoft office suite; experience with Adobe Acrobat a plus. Ability to travel for work travel as needed. Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.
