Real Estate Transaction Coordinator
We are looking for a Real Estate Transaction Manager to add to our close-knit team who is able to manage timelines, paperwork, correspondence, database, and compliance files during the real estate listing process and contract to close and escrow process. This transaction manager will manage the entire contract-to-close process. This person must be calm in high-stress situations where there are multiple deadlines to manage. He/She will need to be detail-oriented, and understand the need for high-quality client and team interaction. We are looking for someone who is willing to take ownership of their duties as a transaction coordinator and develop a new, higher role for themselves within the team and the real estate closing and/or listing department. Since this position will also help with administrative tasks for the brokerage, the perfect person for this position will continue to drive their knowledge in the real estate industry and always be willing to deepen their responsibilities and knowledge base. Responsibilities: • Manage new listings including listing data input, coordination with the team to initiate marketing, work with team and vendors to coordinate schedules for various aspects of the project, assist the agents when listings are live to manage feedback and agent correspondence • Manage contract to close for listing and buyers including timeline management, input into tracking systems, coordination with the team to initiate marketing, educating and corresponding with clients, working efficiently with vendors to communicate throughout the process • Efficiently and accurately manage the administrative tasks involved in listing and closing a real estate sale • Act as liaison between all real estate transaction participants during the process of a real estate sale or lease representing buyers and/or sellers • Communicate regularly with the team as well as buyer and seller clients via phone, text, and email to let them know what to expect during the closing process • Ensure that all important dates, missing documents, calendar reminders, and compliance are communicated to all parties • Educate the clients on the specifics of their real estate contract; be able to answer client inquiries concisely • Establish relationships with all real estate participants including lenders, inspectors, appraisers, and other real estate agents in order to ensure a smooth closing process and share relevant information • Maintain accurate and compliant e-files for all listing sales and real estate transactions in Dotloop • Work with leadership to define and analyze efficiency and best practices as well as research opportunities for transaction systems that will encourage growth, enhance client and agent experience, and increase agent and employee retention • Work with leadership on the brokerage side to assist with agent onboarding, commission payouts, training, and other value to the brokerage agents • Demonstrate general technical experience; feels comfortable not only working in but troubleshooting different technology, electronic platforms, and integration • Follow up with clients after the closing to check in and request a review • Assist the agents in maintaining a relationship with the clients after closing Qualifications: Real estate license preferred Must have excellent organizational skills and communication skills Motivated to serve people and provide excellent customer service Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred CHARACTER TRAITS • Real Estate Experience is helpful, however not necessary • Extreme attention to detail, highly organized • Finds value in serving people, excellent at building rapport • Strong written and verbal communication skills • Comfortable in a high-stress situation • Great problem-solving techniques DEMONSTRATED EXPERTISE • Google Suite: Docs, Sheets, Drive, Mail, Calendar • Must understand Maris, ShowingTime, Supra, and e-signature platforms (such as Dotloop) • Other helpful platform experience: Broker Sumo, KVCore, AirTable, Trello, Online Banking Compensation: $40,000 salary
