New City Kids is a joyful place filled with laughter and hard work, with excellent staff of dedicated adults who love children and youth. We employ local high school students as interns to lead music-drives after school centers and summer camps for children ages 6-13; the internships, in turn, provide youth a platform for a host of holistic development opportunities. As kids and teens engage New City Kids, we come alongside them and awaken them to the joy of leadership, the goodness of earning money, the attainability of a college education and the transforming power of God’s love.

    POSITION SUMMARY

    The New City Kids National Grants Administrator will be responsible for the administration, monitoring and compliance of restricted grants and other restricted funding sources as assigned by the National Grants and Restricted Funds Director. The administrator will primarily perform post-award grants and contracts administration while maintaining high-level relationships with program and administrative staff at external agencies as well as with internal New City Kids stakeholders. The successful candidate will have a high degree of self-awareness, reliability, attention to detail, a strong work ethic, love for order, a desire to collaborate, knowledge of restricted fund best practices and a heart for the mission of New City Kids.

    Grants Administrator Accountabilities and Responsibilities

    Write and submit proposals and accountability reports or project updates that are accurate, timely and comprehensive, in alignment with the funding sources criterion and mission and that of New City Kids.

    Maintain and grow the content management system for boilerplate language, data and other standardizations to maximize efficiency and effectiveness.

    Maintain high level relationships with administrative and program staff at funding agencies, gathering information required to maximize partnership success.

    Train and provide guidance to New City Kids staff and any contracted staff involved in proposal and report writing.

    Establish a routine meeting schedule with staff to ensure all grant and restricted fund deadlines for proposal and report submissions are met.

    Responsible for post-award grants administration project financial tracking and reconciliations of financials for restricted funds, which will include using and inputting grant and contract information into the Sage Intacct Cloud Accounting System.

    Develop, manage, and monitor budgets and budgets to actuals for grants and restricted projects in alignment with the approved operating budgets and chart of accounts per New City Kids city and/or region.

    Conduct data entry activities for post-award grants and restricted fund administration through GrantHub and Salesforce.

    Develop, manage, and maintain timely and accurate audit-ready documentation for each grant and restricted funding source.

    Draft, review and edit grant agreement and restricted fund pledge acknowledgement letters for proper booking of accounts receivables/deferred revenues in the accounting system.

    Maintain MOVES management in Salesforce and GrantHub for grants and restricted funding sources assigned for administration.

    All other duties as assigned by the National Grants and Restricted Funds Director.

    Qualifications

    A strong commitment to and ability to communicate the goals and mission of New City Kids, including a personal and active Christian commitment, and alignment with our diversity, equity and inclusion policy

    Bachelor’s degree required

    2+ years of grant writing and reporting experience - both private and government – required Excellent verbal, written, and interpersonal communication skills

    3+ years of accounting, bookkeeping, budgeting, and restricted funds administration experience

    2+ years of contract writing, review, and/or management experience

    3+ years working in a nonprofit or educational setting with program or project management skills

    Strong achievement ability with a proven track record of success

    A decisive, independent thinker with a strong work ethic and a high level of execution

    Ability to lead multiple long- and short-term projects simultaneously, meeting all related deadlines

    Strong attention to detail

    Ability to manage, coordinate, and share pertinent information with staff and donors/funders.

    Strong computer literacy and competency required – required experience with Google Suite, Microsoft Word, PowerPoint and Excel, Adobe Pro, Quickbooks or Sage Intacct or related accounting system, prefer someone with experience using Salesforce and/or GrantHub.
