Job Description
The Assistant Registrar and Exam Coordinator manages the final exam administration each semester, facilitates accommodated exams, and quizzes throughout the academic year. This role assists with all operations of the Registrar’s Office and serves as a key team player.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Exam Coordinator:
· Handles day to day exam administration during exam period, including distribution and collection of all exam materials
· Works extended evening hours during the fall and spring exam periods. Occasionally works extended evening hours for proctoring accommodated quizzes throughout the semesters.
· Manages any rescheduling of final exams due to conflicts or other circumstances
· Works closely with the Director of Student Services to facilitate accommodated exams and quizzes
· Responsible for communication with students and faculty regarding exam information
· Manages ExamSoft and Canvas for both students and exams
· Uses Canvas to set up quiz accommodations
· Coordinates with the IT Helpdesk and Instructional Support to provide ExamSoft help during exams
· Hires and trains exam proctors
· Works with staffing agency to assign proctors
· Resolves any problematic issues which may arise during exams
· Responsible for keeping the exam schedule up to date on the school Intranet and EMS room calendaring system
Assistant Registrar:
· Compiles and provides data reports for internal and external purposes including to the ABA, NSC and IPEDS
· Works closely with the Student Records Coordinator on bar certification tracking
· Provides secondary administrative assistance for all functions of the Office of the Registrar including bar certification, student and faculty requests, course registration
· Assists Registrar with special ad hoc projects
QUALIFICATIONS AND REQUIREMENTS:
· Bachelor’s degree required
· 3 to 5 years of experience preferred in the Office of the Registrar and familiarity with FERPA and registrar functions
· Interact with and deliver superior customer service in all dealings with students and community members
· Demonstrate initiative and problem-solving abilities
· Ability to perform routine and unexpected duties with minimal supervision.
