About the Job: We are looking for a detail oriented and process driven New Hire Experience Specialist to help elevate our new hire experience across over 60 branch locations across the U.S. This role will focus on creating consistent, clear, and engaging onboarding processes that ensure every new hire feels welcomed, supported, and set up for success.
You will collaborate closely with branch leaders to understand current practices, develop standardized SOPs and tools, and support managers in delivering a first class onboarding experience. This position is ideal for someone who loves building structure, improving processes, and creating meaningful first impressions.
Key Responsibilities
- Build an operational onboarding framework covering pre hire preparation, first day readiness, and early-stage engagement.
- Promote a strong, positive workplace culture that supports our Employer of Choice objectives through consistent onboarding touchpoints, relationship building opportunities, and clear communication that connects new hires to our mission and values.
- Create clear processes that outline what managers must complete before a new hire starts, including forms, equipment setup, system access, and communication expectations.
- Partner with branch operations to understand current onboarding practices, identify gaps, and gather feedback for standardization across all locations.
- Conduct interviews, process reviews, and occasional on site visits to better understand branch needs and observe onboarding practices firsthand.
- Develop user friendly SOPs, checklists, templates, and onboarding guides that streamline and support branch onboarding processes.
- Train managers and branch onboarding contacts on new processes, tools, and expectations, and provide ongoing support during implementation and beyond.
- Serve as a central resource for operational onboarding best practices.
- Ensure new hires feel welcomed, prepared, connected, and culturally aligned from day one by standardizing key “first impression” elements such as communication, workspace setup, technology readiness, and culture-building touchpoints that reinforce company mission and values.
- Collaborate with all necessary operational support teams to ensure a seamless new hire transition.
- Track and evaluate onboarding effectiveness to support continuous improvement.
- Travel to select branches to observe onboarding practices, provide training, and support implementation of onboarding standards as needed.
Qualifications
- 3+ years of experience in onboarding, HR operations, employee experience, or related roles required
- Experience supporting multi branch or distributed teams
- Familiarity with HRIS/ATS/onboarding systems
- Background in operations-heavy or customer-facing industries
- Strong organizational, communication, and process building skills
- Experience developing SOPs, checklists, or workflow documentation
- Ability to build strong relationships across multiple locations
- Comfortable working in a fast paced environment with evolving needs
- Willingness and ability to travel as needed
