    Job Description

    I am searching for a part-time Receptionist/Aesthetician to join our AWESOME growing medical spa team in Irvine.

    Honestly, this is in no way a typical receptionist posting, this is not a seasoned well- established practice needing simply to have phones answered & patients scheduled ... It’s actually way better!

    New Skin & Body has been open for nearly 3 years, but just recently has enjoyed a huge amount of growth with changes to the marketing and operations arms of the office. At the current time, we are adding in much more of the “Medical” to the medical spa treatments by integrating myself as the plastic surgeon more as a presence and seeing cosmetic and surgical patients. Our goal is to truly elevate and expand the patient/client base to include all aesthetician, nurse, and surgeon-related aesthetic treatments. These new changes are in addition to our great team of three incredibly skilled nurses, a very experienced full-time aesthetician, practice manager, marketing/operations director, and existing medical directorship.

    Current treatments offered range from facials, Microneedling, PRP, Hair restoration, chemical peels, body sculpting, vaginal rejuvenation (BTL), laser hair removal, skin tightening, Neurotoxin (Botox, Jeuveau, Dysport), and facial fillers (all Allergan and all Galderma injectable products used).

    As we aggressively market our services and have a growing number of clients/patients to coordinate and phone calls to schedule, filling this position with someone incredibly comfortable with reception skills and a background as an aesthetician would be ideal. There is definitely a need for an additional aesthetician with treatments offered. We have been growing incredibly fast in the last year, and have been exploding in the post-COVID-19 window with increased patient/client volume. We have the nurse injector, operations, digital marketing, etc. covered... But what we really need is a “face to the medical spa” that will be the initial voice on the phone & greeting smile when patients first enter the office.

    Job Responsibilities:

    Unlike a traditional medical spa receptionist, this will require more patient interaction, answering questions, being familiar with packages and possible treatment options. Since we are still a small office, there are several other duties that would be asked. The typical responsibility list/workflow would look like the following:

    1- Medical Spa Receptionist:

    PHONE

    • Answering phones in a timely and kind manner.
    • Answering patient phone questions knowledgeably & thoroughly.
    • Educating briefly on services provided.
    • Scheduling clients/patients for appropriate treatments.
    • Managing the calendar to maximize provider and office efficiency.

    CHECK-IN

    • Greeting new clients/patients upon arrival. This interaction is VITAL to the client experience.

    • Explaining paperwork/forms to be completed.

    • Conversing with patients & building a relationship between our team and them.

    • Occasionally rooming patients for medical providers.

    CHECK OUT

    • Obtaining payment for services rendered (currently using Clover POS system).
    • Discussing previous treatments and giving insight to new/different treatment options.
    • Helping keep front desk area (visible to clients) tidy & organized.
    • Discussing future treatment dates & options.
    • Rescheduling patients for additional planned services. This reschedule is VITAL to medical spa success.

    PATIENT/CLIENT CARE

    • Reviewing post-treatment instructions, information, etc.
    • Explaining seasonal or industry sponsored specials, treatment packages available
    • Calling to follow-up on services / check in on patients. This kind of touch is LOVED by all we treat.
    • Assisting with photography: before and after patient photos.
    • Helping patients leave reviews and share patient treatment experiences.
    • Coordinating treatments with other providers.

    2- Aesthetician: I’m not going to lie, this is the area that has the most tremendous upside! We have an incredibly generous compensation package for our team and providers. This includes aesthetician treatments as well since they are an integral part to the services we provide and the overall client/patient experience. We also reward our staff and aestheticians that “up- sell” (the best way to put it, but I hate that term!), or convert clients to other medical spa treatments that we offer. 


    TREATMENTS **

    • Perform dermal infusion facial treatments
    • Offer chemical peels based on patient-specific needs - Perform BTL Exilis platform treatments

    Vaginal rejuvenation

    Facial & body tightening treatments

    • Microneedling +/- PRP combined treatments. - Discussing skincare treatment regimens

    **We anticipate training any new team member in all treatment modalities to ensure that you are comfortable with our protocols and how we treat patients.

    This type of work environment that is much more fresh/new and growing might not be an ideal fit for some, but will definitely be viewed by others as a great opportunity. There is way more room for growth; in both the medical spa business related side as well as service provider aesthetician side. For us, as the already existing team, it has been incredibly gratifying. Our clients and patients love us & we keep it a small family feels on purpose.

    We are looking to hire ASAP The position is part-time with the potential to soon become full-time.

    Currently anticipated hours are Tuesday - Friday, 6 hours/day. Pay structure is excellent
