    THIS TITLE IS IN A CIVIL SERVICE COMPETITIVE CLASS THAT IS SUBJECT TO EXAMINATION. POSITION IS ONLY OPEN TO APPLICANTS WITH PERMANENT NYC CIVIL SERVICE STATUS AS CLERICAL ASSOCIATE.

    POSITION SUMMARY: Under the supervision of the Committee on Special Education (CSE) Chairperson or designee, with limited latitude for independent judgment, the Special Education Clerical Assistant will perform clerical tasks related to CSE case records and files. The incumbent will review records for accuracy of information and for conformity to established policy and procedures. The new appointee will also prepare reports as directed by the Chairperson or designee utilizing data from CSE records, perform data entry and retrieval using a personal computer, maintain CSE case files and materials, and search CSE Record Room files for difficult to locate material. Performs related work.

     

    REPORTS TO: Chairperson or designee

      

    DIRECT REPORTS: N/A

      

    KEY RELATIONSHIPS: CSE teams, CSE leadership, parents, and field personnel.

      

    RESPONSIBILITIES

      

    Through the performance of clerical duties, supports CSE and CPSE teams with all aspects of referral, assessment, placement, and arrangement of services to students with disabilities assigned to the CSE, and supports the coordination of Impartial Hearings and mediations, including:

    • processing and filing of confidential records;
    • processing case files;
    • data entry;
    • faxing, uploading and photocopying documents;
    • tracking;
    • updating DOE systems such as SESIS, CAP, DAITS, etc.;
    • scheduling;
    • managing internal and external telephone and written requests, including those from parents and field personnel; and
    • communicating with families and DOE offices.

    Assists with payroll, purchasing/procurement and budget functions as assigned, including:

    • maintenance of detailed employee records;
    • ordering of office supplies;
    • utilizing FAMIS and other systems to create purchase orders, etc.;
    • timekeeping; and
    • per session payroll.

    Provides administrative support for special projects as needed.

     

    QUALIFICATION REQUIREMENTS:

      

    MINIMUM

      

    POSITION IS ONLY OPEN TO APPLICANTS WITH PERMANENT NYC CIVIL SERVICE STATUS AS CLERICAL ASSOCIATE. 

     

      

    PREFERRED

      

    • Data entry experience.
    • Familiar with Department of Education data systems such as CAP, ATS and SESIS.
    • Excellent communication and customer service skills.

     

    SALARY: $36,391+

    (Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not make less than their current salary.)
