    The Purchasing Administrator/Accounting Clerk processes order requests in a timely manner, insuring the best possible pricing and delivery terms for NewsBank. They maintain accurate records of transactions and provide routine reporting to the Finance Department on all transactions. This position also reconciles daily credit card transactions, uploads information into the accounting labor job tracking system, enters accounts payables invoices and performs other administrative accounting clerk duties.

    Essential Duties and Responsibilities:

    • Process initial and updated purchase order requests
    • Work with Accounts Payable and Finance team to ensure purchase orders match invoices
    • Request price quotes
    • Verify supplier invoices against quotes and confirmed purchase orders to approve for payment
    • Resolve any delivery issues and ensure delivery of all purchase orders placed
    • Complete daily/monthly reporting for upper management
    • Ensure that best security practices are used to secure confidential information relating to credit cards, credentials, bank account information, etc.
    • Source suppliers based on price, availability, and quality
    • Coordinate with shipping agencies and sellers to ensure timely deliveries
    • Oversee the integrity and quality of delivered goods and services
    • Maintain vendor lists and update and maintain credentials using the 1Password system
    • Review purchase orders and research/negotiate optimized pricing and delivery terms
    • Assist in documenting Purchasing processes and procedures as requested
    • Maintain purchasing files and documents as directed
    • Work closely with purchase order requesters to ensure accuracy
    • Other duties as assigned to ensure the success of the Purchasing function
    • Perform general accounting clerk functions including uploading accounting labor job reports, reconcile daily credit card transactions, ensure invoices are verified, approved and entered into the accounts payable system for payment.

    Requirements

    High School Diploma and minimum of 1-3 years experience in a similar position that demonstrates:

    • Purchasing and accounts payable knowledge and experience
    • Ability to do account reconciliations
    • Analytical thinking
    • Attention to detail
    • Good organizational and communication skills
    • Commitment to the needs of internal and external customers
    • Initiative and problem solving skills
    • Great Plains experience a plus
    • 1Password experience a plus
    • Good Negotiating skills
    • Cooperation with team members to resolve problems and achieve goals
