  • Responsibilities

    POSITION SUMMARY:

    Assists and supports the Sales and Catering Department by performing administrative functions, ensuring the standards are upheld.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Distribution and updates of BEOs for Banquet Event Orders
    • Generates routine correspondence as assigned by the Sales and Catering Departments
    • Organizes and maintains all Sales and Catering filing systems and files correspondence and other records
    • Prepares wedding packets and resumes for all groups and distributes interdepartmentally
    • Answers and screens calls when sales and catering staff are not available and forwards to the appropriate individual and/or takes clear and concise messages
    • Provides support to the sales staff in preparing for weekly meetings
    • Maintains Sales Departments Group Booking Program/ Software
    • Enters group rooming lists into PMS system.
    • Manages Group Folders, Billing and Calendar
    • Audit/Balance Delphi with Opera
    • Makes signage for event space
    • Coordinate menu signs for group functions
    • Makes place cards and special menus
    • Enter actuals into Delphi after the event and match it to Opera receipt
    • Entering Open Table reservations for groups eating in the restaurant or lounge
    • Setting up routing in Opera for group reservations.
    • Make and distribute changes to function sheets as requested by Catering Manager or DOSM
    • Complete amenity requests and amenity cards as needed
    • Conducts exit interviews with planners after each function and passes on information to staff
    • Log all group “turn downs” into Delphi
    • Assists the Director of Rooms with social media management
    • All other duties as assigned by the Managing Director or DOSM

    OTHER:

    Regular attendance in conformance with the standards, which may be established by the Hotel from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action up to and including termination.

    Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the Hotel.

    Upon employment, all employees are required to fully comply with the Hotel rules and regulations for the safe and efficient operation of the Hotel facilities.

    QUALIFICATIONS:

    • Identifies and resolves problems in a timely manner; Gathers and analyzes information skillfully
    • Responds promptly to the needs of the Director of Sales & Marketing, Sales Managers, Catering Manager and current and potential clients
    • Computer skills to include Delphi, Opera and Excel
    • Able to communicate effectively in both written and verbal communication
    • Very organized, detail oriented and completes work in timely manner
    • Ability to read, analyze, and interpret sales contracts, sales procedures, etc.
    • Ability to generate and understand all sales reports and all other business correspondence clearly and informatively and edits work for spelling and grammar
    • Ability to effectively present information and respond to questions from the Sales Staff, Managers, clients, guests and the general public
    • Advanced mathematical skills in order to calculate Sales figures and amounts such as discounts and percentages
    • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
    • Meets legal age requirements for the position
